This hybrid position is located in Dun Laoghaire, Co. Dublin, with 3 days of remote work once fully trained on systems and tools.
The successful candidate will work 35 hours per week as an agency employee, earning €36,544 per year.
They will accrue 23 annual leave days and bank holidays, along with other benefits.
Description of Role
This role provides administrative support to the Skills and Education and Learning Development Unit at BIM.
The unit delivers skills services that align with BIM's strategic goals.
Responsibilities include:
* Providing confidential administrative support using initiative and good organization skills.
* Supporting projects to deliver the BIM Skills Strategy.
* Printing training cards and corresponding with learners.
* Maintaining files for efficient access to materials.
* Scheduling meetings and events.
* Dealing with sensitive material and maintaining confidentiality.
* Processing payments and supporting procurement and budgeting.
* Maintaining quality management systems and quality assurance documentation.
Key Responsibilities and Main Duties/Tasks
The ideal candidate should have excellent IT skills and be able to:
* Maintain all files related to internal and external meetings and correspondence.
* Process payments using the internal BIM finance system NAV.
* Provide administrative support for the development and maintenance of the Quality Management System ISO 9001 and ISO 14001.
* Assist with QA documentation maintenance and updating.
* Compile reports on learner feedback and other KPIs for Quality review meetings.
* Organize and collate data from post-training learner feedback surveys.
* Prepare documentation for programme validation/re-validation.
* Support panels such as Results Approval Panel, Programme Approval Panel, Training and Development Committee, Academic Council, and Programme Boards.
