We are looking for an experienced Project Administrator to join our team. We have a hybrid work pattern and the role is based at our Cork Office.
This is an ideal role for someone who enjoys the challenges and the buzz of providing admin support on large international project teams.
Responsibilities
In this role, you will experience a lot of variety, collaborating with project teams across different disciplines and/or individual managers. Below are the types of activities you will be involved in:
* Provide diary management, accommodating changing requirements, updating contacts and maintaining action and contact registers across the full project including interfacing with the Client or when dealing with Senior Management.
* Compiling and sorting project reports and inputting data, which requires high-level efficiency in Excel.
* Formatting and preparing documents / presentations to support the clear dissemination and communication of project information both internally and in a project environment.
* Maintaining and uploading documents using our company Document Management System and Client platforms.
* Planning and arranging meetings (daily, monthly and quarterly) and conferences as directed by the Project Manager, Senior Manager or / and the Project Team, including all logistics involved.
* Responsible for the daily management and co-ordination of all activities on a busy Project or Project Teams including team-building events.
* Working with various disciplines within the Organisation and providing Support where and when required.
* Assisting the Administrative Team as required in all areas including reception and when any other duties that may arise.
Qualifications
To enjoy this role, you will have some general administrative experience, with strong computer skills. Additionally, you will possess the following qualities:
* Completed an administrative professional training course or other relevant training certificate, with a demonstrated record of accomplishment of relevant experience.
* Proactive approach - self-motivated, comfortable to work on own initiative and collaboratively works with others.
* A strong desire to support others in a professional environment and a genuine interest in helping teams collaborate effectively.
* Positive attitude with a strong work ethic, strong organisational skills and keen attention to detail.
* Excellent interpersonal / communication skills - the ability to communicate effectively with Management and External Bodies.
* Ability to handle confidential information with discretion and be adaptable to various competing demands.
* Computer literacy is essential, with proficiency in Excel, PowerPoint, Microsoft Word, and Outlook being a key part of the role. Additionally, you must be open to adopting new technology.
* A strong interest in working as part of a dynamic admin team, where multi-tasking and collaboration are key.
