Reporting To: The Owner and Director of Little Folks Academy
Responsible For : Little Folks Academy Ltd, Trim, Co. Meath

Roles and Responsibilities
Operational
5. To ensure the ongoing successful management and financial viability of the full day care and afterschool business is maintained.
6. To ensure that the full day care and afterschool operates at full capacity to include matching of full day care, ECCE Scheme, and part-time places.
7. To efficiently manage the registration of all new children and waiting in line with the Admissions Policy and Procedure.
8. To ensure that the building is maintained to the required standards and any maintenance work is completed in a timely manner.
9. To maintain and monitor security, systems and alarms, for the building.
10. To maintain accurate and up-to-date records for all aspects of the business, which are easily retrieved, necessary to the running of the full day service and afterschool in accordance with the Child Care Act 1991 [Early Years Services] Regulations 2016 and the Child Care Act 1991 [Early Years Services] [Registration of School Age Services] Regulations 2018, the Child Care Act 1991, the Department of Children and Youth Affairs, Children First: National Guidance for the Protection and Welfare of Children, 2011 and the Department of Health and Children Our Duty to Care.
Financial Responsibilities
11. Operate the company within the given financial budget and manage company accounts and liaise with the accountant as appropriate.
12. Be fully conversant with the childcare business concerning maximising effectiveness of funding received and ensuring equitable fee income.
13. To complete all aspects of grant applications including compilation of all details for same.
14. To complete and be responsible for the PIP system
15. To be responsible for payroll and revenue
16. To be responsible for all invoicing and ordering of goods for the service
17. To have a sound knowledge and understanding of various funding schemes
18. Monitor all costs and look for cost savings always
19. Ensure parental fees are paid and implement credit control procedures for non-payment of fees.
20. Provide a financial summary for the Owner/Directors meeting
21. Provide business planning for the company and appropriate projections.
22. Ensure that the company is delivering a service in line with requirements under contract to DCYA/Pobal.
Childcare Practice
23. To work with the staff in developing the curriculum for each room within the service ensuring that the activities and programmes are linked to Aistear, the National Curriculum and Síolta, the National Quality Framework.
24. To ensure that the curriculum and activities meet the developmental needs of the children
25. To ensure the curriculum is age and stage appropriate and promotes the childrens development within the in-door and outdoor environment.
26. To ensure that all practice is child-centred and responsive to the individual needs of children
27. To have a comprehensive knowledge and understanding of equality issues and different customs, cultures and family structures and to ensure that equality and diversity is recognised and celebrated through the curriculum
28. To ensure regular developmental observations are carried out by the staff team on all of the children and recorded appropriately.
29. To ensure that developmental programmes for each child are implemented based on the observations in each of the rooms
30. To ensure that observations are used to develop individual learning plans for each child and to ensure that the unique needs of each child is reflected in the curriculum programme.
31. To conduct and advise on child development evaluations/assessments as may be required.
32. To ensure that an appropriate care plan is developed and implemented for children with special needs. To ensure that appropriate Individual Learning Plans are developed to meet the needs of children with special needs.
33. To develop quality improvement strategies within the service to enhance the quality of experiences for all children and staff.
34. To ensure that all elements of the work are delivered within the remit of the Child Care Act 1991 [Early Years Services] Regulations 2016 and the Child Care Act 1991 [Early Years Services] [Registration of School Age Services] Regulations 2018, Síolta, the National Quality Framework, Aistear, the National Curriculum and the National Standards for Preschool Services and any other legal or best practice standards.
Child Protection
35. To act as the Designated Child Protection Liaison Person in the full day care service and the afterschool in line with Children First: National Guidance for the Protection and Welfare of Children, 2011
36. To ensure that all staff understand their roles and responsibilities in relation to child protection concerns in the full day care service and the afterschool and that they act appropriately if they have a child protection concern and understand the child protection policy and procedure.
Working in Partnership with Parents
37. To build relationships with parents and ensure all staff engage and communicate with parents.
38. To ensure an effective communication system with parents/guardians is maintained and to carry out all viewing and induction meetings with parents.
39. To ensure regular parent/carer meetings are held
40. To organise and manage parent and information evenings/events.
41. To ensure that parent/carer meetings and moving room/transition meetings take place at regular intervals.
42. To organise and manage seasonal and family/social events.
Viewings
43. To ensure that parents are talked through the range of services available in both services. The services should be promoted and marketed through phone calls enquiries and through viewings in relation to both services.
Staff Management
44. To develop and maintain a Best Practice culture as outlined in Síolta, Aistear
45. To maintain the staffing requirements as set out in the Child Care Act 1991 [Early Years Services] Regulations 2016 and the Child Care Act 1991 [Early Years Services] [Registration of School Age Services] Regulations 2018. To act as a positive role model and provide leadership to the staff in relation to all elements of childcare practice so that they can effectively fulfil their roles within the full day service and the afterschool.
46. To ensure that staff have the right attitude and are motivated in their work in conjunction with management
47. To ensure that quality standards are maintained in relation to the professionalism of staff as set out in the standards established.
48. To manage staff, including recruitment of staff, staff induction and orientation, staff training and development, staff support and supervision
49. To monitor staff performance, attendance and punctuality and maintain records of same as part of Personnel files.
50. To manage, support and supervise Childcare Students on placement through the year in conjunction with relevant Staff. This will include completion of garda vetting, induction, monitoring students performance, feedback to students and the college and completing reports as required.
51. To manage all staffing issues including grievance and discipline issues and to conduct such matters in line with the Grievance and Disciplinary Policies and Procedures
52. To identify staff training needs and sourcing of training opportunities.
53. To ensure that all staff adhere to contract obligations, duties outlined in Job Descriptions and compliance with Terms and Conditions as laid out in the Employee Handbook, including all Policies and Procedures of the full day care service and the afterschool
54. To arrange regular staff meetings, providing an agenda, recording meeting notes and circulate same for staff on with staff and hold on file.
55. To manage a staff rota system, including adequate cover for breaks and leave.
56. To work in harmony as part of a full team and liaise with staff in the delivery of all services within the full day care service and afterschool
57. To ensure that all staff have up-to-date mandatory training as appropriate to the position, First Aid, Fire Safety, Food Hygiene, Manual Handling, Child Protection and HACCP.
Health & Safety
58. To liaise with Little Dinners in the full day care service regarding menu and related purchases.
59. To ensure that all HACCP records are maintained
60. To liaise with the staff and monitor daily cleaning routines, ensuring all equipment is maintained to a high standard.
61. To ensure that a high standard of cleanliness, health and safety is maintained in line with relevant legislation in the building.
62. To ensure that the building is in excellent condition always in compliance with the Child Care Act 1991 [Early Years Services] Regulations 2016 and the Child Care Act 1991 [Early Years Services] [Registration of School Age Services] Regulations 2018, the Health, Safety and Welfare at Work Act 2005, and in line with all Policies and Procedures of the full day care service and the afterschool
63. To manage Fire Safety procedures for the building as set out by the Fire Safety Act 1997 and Child Care Act 1991 [Early Years Services] Regulations 2016 and the Child Care Act 1991 [Early Years Services] [Registration of School Age Services] Regulations 2018. This will include organising regular fire drills, staff training and keeping and maintaining accurate records.
64. To ensure that accident and incident forms are appropriately completed and maintained by Staff.
65. To ensure that regular risk assessments and health and safety audits are carried both in-door and outdoors in the full day care service and the afterschool.
66. To be responsible for the security systems and maintenance of both facilities.
Meeting and Reporting Responsibilities
67. To attend meetings with the Owner/Director and present progress reports (Operational, Childcare, Human Resources, Health and Safety and Finances) as required.
68. To ensure accurate records of meetings with the Staff are kept and to ensure staff follow through on same
69. To ensure that regular planning meetings are held with Early Years and Afterschool Practitioners and accurately record details of same.
70. To organise and facilitate regular staff meetings and to ensure that minutes are recorded.
71. To participate in the management support and monitoring provided by Canavan Byrne HR.
Policy Development
72. To keep abreast of all policy issues and new developments within the business sector
73. To ensure that the business is prepared for a Tusla Child and Family Agency Early Years Inspection, Pobal inspection and any other relevant agencies inspections always
74. To ensure that the full day care service and the afterschool meets all its obligations as stipulated in the Safety, Health and Welfare at Work Act 2005 including maintaining a Health and Safety Statement for the building
75. To ensure that all policies and procedures [childcare, employment, financial and health and safety] of the full day care service and afterschool are implemented and updated as required.
76. To ensure that the Childcare Policies and Procedures for the Centre are reviewed and updated as required.
Marketing
77. To maintain and promote Social Media Facebook, Twitter for both services
78. To maintain and promote the website.
External Communications
79. To represent the service in a positive way at events
80. To liaise with external agencies/ personnel as appropriate (PHN, special needs organisations, national voluntary agencies etc.).
81. To engage in networking as a business development strategy.
Other Related Duties
82. To work in all areas of the service as may be required in the provision of relevant adult: child ratios and in the kitchen as necessary.
83. To assist with the organisation of and to partake in fund-raising and promotional events as required.
84. To keep confidential all personal information regarding the children and their families, the staff and the full day care centre and afterschool in line with the Confidentiality Policy and Procedure of the and the Data Protection Acts 1998-2003.
85. To take on other responsibilities as reasonably requested by the Owner/Director

The successful candidate must have
