Property Administrator, Property, LimerickLocation: Limerick Contract: Full-Time, Permanent Salary Range: € 31,094.97- 34,321.31 DOPThe purpose of this role is to be a key link between Services Support and Property Operations and assist the housing management team to ensure that the workload is managed, prioritised effectively and monitored to continually improve performance.What you will do:Assist the Property Team in monitoring and managing rent accounts, including sending letters and making calls to tenants regarding their rent accounts.Assist staff in recording and monitoring Rent Arrears Agreements and act as the point of contact for arrears calls to discuss payment plans.Complete spreadsheets of payments received, make bank lodgements, and set up household budget payments with An Post.Submit RAS applications to Local Authorities and conduct annual rent assessment reviews.Receive repair orders through various portals (email, web, phone), record them on the housing management system, allocate them to housing officers for assessment and feedback, and ensure completion by following up with tenants and contractors.Regularly liaise with housing officers and finance departments to update final costs and close off work orders once completed.Schedule and track Health and Safety checks, ensuring all certificates are uploaded, regulatory compliance is maintained, and assist with Asset Management Plans.Track and report on voids, ensuring timely refurbishments, and support tenant onboarding by setting up tenants on the housing system, calculating rent, setting up utilities, and collaborating with Housing Officers for a smooth move-in process.Assist the team in reporting to the Head of Housing and provide general administrative support as required, including monitoring petty cash and completing monthly reports.Handle tenant queries via phone, direct them to the appropriate department, and ensure all documentation is correctly recorded on the housing management system.Send communications to tenants (letters, emails, phone calls) to schedule necessary appointments and follow up as needed.Comply fully with Focus Ireland policies, including confidentiality, data protection, and electronic communications, and work within the framework of the organisation's objectives.Participate in regular supervision, team and organisational meetings, training, and development courses as agreed with your manager.Be vigilant about Health, Safety, and Welfare risks in the workplace, addressing concerns with your manager or Health & Safety Representative.Promote Focus Ireland positively in all activities and conduct and undertake any other duties reasonably assigned.What you will need: Previous administration experience.Proficiency in MS Suite (Excel, Word, and Outlook) with excellent attention to detail.Solutions-focused attitude with strong teamwork and communication skills.Trustworthy and able to conduct the role with integrity.Experience in a voluntary housing organisation and familiarity with housing software systems (desirable).What you will get:Contract: Full-time, Permanent.Monday-Friday work schedule.Competitive annual leave entitlement.Employee Assistance Programme (EAP) for well-being and support.Educational policy supporting continuous professional development.Other attractive benefits tailored to employee needs.Focus Ireland is an equal opportunities employer.
