Job Title: Property Operations Administrator
We are seeking a skilled Property Operations Administrator to join our team. The ideal candidate will have previous experience in operations, financial or administrative roles within the property or facilities management sector.
The Role:
This permanent, full-time position involves supporting the Property Operations team with administrative duties and occasionally interacting with clients and service providers.
Responsibilities:
* Preparing annual property service charge, water, and commercial rates budgets.
* Creating and submitting monthly variance analysis of service charge budgets.
* Maintaining reports on all estates under our management.
* Investigating long-term outstanding debts and collaborating with the finance team.
* Addressing queries regarding service charges.
* Supporting internal and external audits.
* Maintaining Service charge audit records for each estate and multi-let.
* Acting as the primary point of contact for local authorities and clients on commercial rates and service charges.
* Preparing commercial rates payment schedules for vacant buildings and multi-lets for each local authority.
* Arranging rates revaluations of existing properties.
* Filling out section 11 forms for local authorities when applicable.
* Providing up-to-date building listings to finance for insurance purposes.
* Calculating and preparing client balancing statements related to service charge rate changes.
* Managing Uisce Eireann (Irish Water) invoicing.
* Performing various administration tasks within the operations section as needed.
Requirements:
* An ideal third-level degree qualification.
* A minimum of 2-3 years of experience in an operations, accounts, or financial administration-focused role.
* Prior experience in the property management, facilities, or real estate sectors would be highly desirable.
* Strong administrative skills, analytical capabilities, and problem-solving skills.
* Excellent IT skills, including proficiency in Microsoft Office applications, particularly Microsoft Excel.
* Effective communication, relationship management, and negotiation skills.
