What We're Building
Jentic is the standalone integration layer that connects AI agents with other systems and each other. Built by developers, for developers, our platform simplifies and accelerates API integration, increasing AI agent reliability, while solving security and access control challenges.
We are seeking a highly organised, proactive, and detail-oriented Office Administrator & Executive Assistant to support our leadership team and ensure the smooth functioning of our office operations. This role is essential in maintaining operational efficiency, providing administrative support, and creating a productive work environment for our growing team.
Your Role
As an Office Manager & Executive Assistant, your key responsibilities are below:
* Office Operations: Manage day-to-day office operations, including facility maintenance, supplies, vendor relationships, and ensuring a welcoming and functional workspace.
* Executive Support: Provide comprehensive administrative support to the founder team, including calendar management, travel arrangements, meeting coordination, and communication management.
* Team Support: Facilitate team activities, onboarding processes, and internal events to foster a collaborative and positive company culture.
* HR Administration: Assist with basic HR functions including new hire documentation, orientation coordination, benefits administration, and maintaining personnel records.
* Financial Administration: Manage accounts payable processes, including tracking and chasing receipts, processing invoices, coordinating with external accountants, and maintaining accurate financial records. Handle expense reporting, light bookkeeping duties, and budget tracking for office-related expenditures.
* Event Coordination: Support the planning and execution of company events, team-building activities, and client meetings both in-office and remotely.
What We're Looking For
We're seeking an individual who:
* Has a minimum of 4 years' experience in office administration and management, executive assistance, or similar roles, preferably in a tech company or startup environment.
* Demonstrates exceptional organisational skills with strong attention to detail and the ability to prioritise competing demands effectively.
* Has outstanding written and verbal communication skills with a professional and approachable demeanour.
* Shows proficiency in productivity software (Microsoft Office, Google Workspace), scheduling tools, and financial management systems. Experience with accounting software and receipt management tools is a plus.
* Exhibits problem-solving abilities with a proactive approach to anticipating needs and finding solutions.
* Has experience in coordinating logistics for meetings, events, and travel arrangements efficiently.
* Maintains absolute discretion when handling confidential and sensitive information.
* Is adaptable and thrives in a fast-paced, evolving startup environment.
* Shows interest in technology and AI, with a willingness to learn about our industry and product.
* Brings a positive attitude with a service-oriented mindset and ability to work both independently and collaboratively.
* Has experience with or willingness to adopt AI tools to enhance administrative efficiency.
* Experience with HR administration including onboarding, benefits coordination, and personnel record management would be a significant advantage.

* This role is primarily an office-based role (4 days per week, with flexibility) in our city centre location in Dublin 2.
* Candidates must be legally authorised to work and live in Ireland without the need for employer sponsorship.
