Principal Duties and Responsibilities
The successful candidate will be responsible for providing office support, answering queries, and delivering a reception/telephone service. This includes maintaining accurate records, processing data, and preparing reports as necessary.
Key Responsibilities:
* Provide administrative support, including answering queries and delivering a reception/telephone service.
* Maintain accurate up-to-date records, filing systems, and computerised/paper copy records.
* Manage data, including collating, interrogating, validating, and processing information.
* Prepare reports as necessary and provide required information to Service Managers and teams.
* Action all communications in a timely manner and undertake any other administrative support assignments as directed.
Customer Service:
* Making phone calls to and taking phone calls from members of the public.
* Using email as a form of communication when required.
* Promoting and maintaining a customer-focused environment.
* Treating service users with dignity and respect.
Service Delivery and Improvement:
* Handling sensitive and confidential information in line with GDPR guidelines.
* Actively participating in innovation and supporting change and improvement initiatives within the service.
* Identifying potential problems/inconsistencies and consulting with Line Manager as appropriate.
Standards, Policies, Procedures, and Legislation:
* Maintaining knowledge of relevant employer policies, procedures, guidelines, and practices.
* Holding a working knowledge of HIQA Standards and associated HSE protocols.
* Supporting sustainable energy, water, and waste initiatives to create a more sustainable health service.
