Job Title: Executive Support Officer
Duration: 6 months (with possibility of extension)
The Role
To provide administrative support services for members of the Senior Leadership Team.
Duties
1. Support the Chief Executive and senior team in their interaction with the public and act as first point of contact.
2. Manage a range of administrative and office functions.
3. Provide comprehensive secretarial support including diary, e-mail and responding to routine enquiries.
4. Lead, implement and maintain administrative systems, including links to Electronic Case Management, Content Manager, Account NI, and compliance systems to maximise effectiveness.
5. Organise a variety of internal and external meetings including associated preparatory work, minute taking and subsequent dissemination of information.
6. Coordinate meetings and briefings such as the performance process or budget setting.
7. From time to time, participate in organisational projects, and undertake any other duties as appropriate to the post and grade.
Qualifications
Grade C or above in at least 5 GCSEs or equivalent qualification one of which must be GCSE English Language or equivalent and one of which must be a GCSE in a numerate subject or equivalent.
Experience
At least three years' relevant experience, gained within the last five years of providing administrative/ Secretarial support including producing correspondence/ e-mails, reports and responding to routine enquiries.
* At least one year's experience of electronic diary management for one or more people.
* At least one year's experience of organising and servicing/minuting meetings including on-line forums.
Desirable Skills
Previous experience of using a record management system for example Content Manager or Trim etc.
