With 1200+ lawyers, 300+ partners, 28 offices and 17 jurisdictions we are looking to expand our Legal Support (Ireland) team, with the addition of a Trainee PA.
The opportunity for you
The Trainee PA role provides essential support across various functions including Client/Matter Administration, Document Administration, Diary Management, Business Development, and Finance Support. The successful candidate will demonstrate effective communication skills, strong organisational abilities, and a collaborative approach.
Key responsibilities
Client/Matter Administration:
1. Record billing instructions meticulously.
Document Administration:
1. Assist with the creation and amendments of documents under guidance.
2. Handle filing and archiving tasks efficiently.
3. Proofread amendments by document specialists focusing on basic format and grammar.
Diary Management:
1. Proactively support diary management including conflict resolution and forward planning.
Business Development:
1. Track Business Development (BD) activities ensuring they are recorded on OnePlace.
Finance Support:
1. Complete expense forms ensuring accuracy against budget codes.
2. Manage billing processes including pre-bill and final bill preparation.
3. Process disbursements efficiently.
4. Prepare internal transfer forms for client money transfers.
5. Set up DocuSign for electronic signatures where required.
General Fee Earner Assistance:
1. Provide comprehensive support to fee earners in various administrative tasks as needed.
Knowledge, skills and experience
1. Prior experience in an administrative or support role is desirable but not essential.
2. Familiarity with Microsoft Office applications (Word/PowerPoint/Excel) is beneficial.
3. Strong organisational skills with attention to detail.
4. Excellent communication skills both written and oral.
5. Ability to work independently while managing time effectively under pressure.
6. Reliable with a strong sense of responsibility towards assigned tasks.
7. Proactive approach towards identifying issues/problems before they arise.
