A snapshot of your peer group:
* Excellent administration skills with an ability to work unsupervised with a sense of urgency on day-to-day duties and tasks
* PA/secretarial experience organising Outlook calendar/ email inbox on behalf of others
* Advanced PC skills including applications such as Microsoft Word, Excel, PowerPoint and Outlook
* Experience in completion of high-quality PowerPoint presentations
* Excellent communication skills including strong typing/audio typing skills with a high-level of attention to detail
* Strong time management & organisational skills with the ability to multi-task and prioritise urgent tasks
* Very reliable with a high degree of enthusiasm and adaptability
* Proactive approach to planning, managing potential problems and offering solutions.
* The ability to be discreet and handle confidential information and matters
* A working knowledge of SAP is an advantage but not essential as training will be provided
Your responsibilities and achievements will evolve as you enhance your career with us. Here is what you can initially expect:
* Secretarial duties for Partners within our Restructuring practice – comprehensive and proactive diary and email inbox management
* Scheduling weekly/monthly meetings as required
* General administrative duties including processing expense claims, travel booking, and inputting of timesheets
* Assist in the financial management of the portfolio of clients; producing reports, conducting billing & invoicing
* Record weekly timesheets
* Prepare and record expense claims ensuring compliance with firm policy
Diary and workflow management
* Proactively manage a busy schedule, arranging client and internal meetings ensuring documentation is prepared in advance
* Prioritise workflow by considering the risk, importance, urgency, and potential business and/or client implications
* Track the completion of tasks and monitor deadlines providing feedback to the Partner/Director group
Communication and Document Management:
* Manage internal and external communications, filter correspondence (emails, calls and post) taking appropriate action, escalating or delegating accordingly
* Preparation and review or reports, proposals and presentations with a strong attention to detail using Microsoft applications such as Powerpoint, Word and Excel
* Dictaphone/audio typing for the team to generate and transcribe documents quickly and accurately
* Maintain an organised document management process.
Travel and Event/Conference support
* Organising attendance at conferences and events and preparing high quality presentations and materials.
* Working with the corporate travel agent to coordinate cost-effective and often complex domestic and/or international travel arrangements and itineraries
Relationship management
* Build relationships with both internal and external stakeholders to understand the business and client needs
* Maintain the Customer Relationship Management system for the department
