The Role:
Avolon is appointing an Executive Assistant to partner with the Head of Americas & OEM and Head of Europe. This is an exciting opportunity for an experienced and highly organised individual to work in a fast-paced and dynamic environment and provide comprehensive support to two Commercial Regional Heads.
Key Responsibilities:
* Act as the first point of contact for the Commercial Regional Heads, proactively and promptly reviewing and tracking incoming enquiries;
* Extensive calendar and diary management including coordinating schedules, meetings and international travel;
* Liaise with company travel agent to book travel, hotel and transport when necessary;
* Provide high level business support including preparing meeting agendas, briefing packs, presentations, and other documents, and ensuring follow-up actions are progressed;
* Coordinate, attend and take minutes for team meetings and any other relevant meetings;
* Build and maintain relationships across the Commercial leadership team to ensure the coordination of priority workstreams and ongoing management of actions and status reports;
* Provide project support, reviewing and summarising reports, presentations, and documents suitable for presentation at Board level;
* Maintain trackers and access to key information through use of internal systems and data management processes;
* Organise team and customer events;
* Support Europe and Americas team with business travel and coordinating their customer events when required;
* Prepare and submit monthly credit card expenses.
The Person:
You will be driven, focused, and resourceful as well as being an excellent relationship builder. You will be self-motivated with exceptional attention to detail. You will have the ability to work independently in a fast-paced, dynamic environment, while maintaining excellent organisational skills. You must be flexible and adaptable.
Essential Skills and Experience:
* At least 5 years’ experience or equivalent in a similar role;
* Experience working in a financial setting or aircraft leasing sector a distinct advantage;
* Demonstrable experience in working with highly sensitive business correspondence and other information with confidentiality and discretion;
* Relationship building across all levels of the business and with external contacts, vendors and partners;
* Self-motivated with initiative to track and follow through on all queries and issues to successful completion;
* Ability to work in a fast-paced, dynamic environment, requiring high levels of flexibility and adaptability, and willing to deal with issues outside of regular business hours if required;
* Experience of multitasking and prioritising an everchanging workload;
* Ability to work autonomously and take ownership of area of responsibility;
* Proficient in utilizing the complete Microsoft Office suite;
* Effective meeting management and coordination;
* Highly organised with excellent time management and attention to detail;
* Strong oral and written communication skills.
