Purpose: This role is to support the Head of Operations in ensuring the company's efficiency, productivity, and overall success. The focus is on overseeing and continuously improving internal processes key to smooth business operation.
The Operations function facilitates operational processes allowing the business and delivery teams to carry out services for clients without bottlenecks or 'grit' in the system. This enhances the company's strong reputation in the market.

This full-time position is office-based in Sandyford, Dublin, with one day per week option to work from home. The role reports to the Head of Operations within a team of three people (two direct reports) and collaborates with all departments.
Role Responsibilities:
* Office Management:
o Oversee facilities across three offices (Dublin HQ, Cork, Tullamore).
o Manage Company assets – equipment, phones, vans etc., and ensure they are tracked and supported.
o Liaise with landlords, contractors, management companies to maintain a safe and comfortable working environment.
o Manage service providers and sub-contractors to facilitate their engagement and interactions with the Company.
* Project Support:
o Support technical teams in bid preparation and report delivery to clients. Oversee this work and undertake it when required.
o Administer projects using Coretime Software.
o Set up new projects, clients, and subcontractors.
o Closing out projects and filing relevant documents.
* Quality:
o Ensure adherence to the Quality Management System and improve procedures to enhance operations.
o Maintain and update various records and databases on Excel.
* Information Technology:
o Champion technology use to improve efficiencies and enhance internal communication.
o Liaise with IT suppliers to maintain facilities and services.
* HR:
o Provide ad-hoc HR support and promote good practice.
o Assist with recruitment and induction of new employees.
o Develop and roll out processes supporting transactional HR processes.
* Finance:
o Provide support to the finance function as required.

Requirements:
* A minimum of five years of experience in a similar role, preferably in an engineering consultancy, architecture, or professional services firm.
* Expert level in MS Word and Adobe PDF Editing Software.
* Excellent command of written and spoken English.
* Reasonable numeracy and IT literacy.
* Good level of Microsoft Excel.
* Experience with Microsoft SharePoint, Teams, and Outlook.
* Proven ability to work to tight deadlines while maintaining high standards.
* Ability to multi-task and prioritise workload.
* Good interpersonal skills, dealing with co-workers, business partners, and service providers.
