Cluster Purchasing Assistant
We are looking for a skilled and detail-oriented Cluster Purchasing Assistant to join our team. As a key member of the Accounts Team, you will be responsible for ensuring the efficient running of finance functions within the property.
This is an exciting opportunity to work with a cluster of four properties, where you will assist in delivering finance functions efficiently across the larger team. You will be working closely with the Cluster Manager and other department heads to ensure that all financial tasks are completed accurately and on time.
The main responsibilities of this role include:
* Matching Procure Wizard purchase orders and delivery notes correctly
* Resolving price queries with Purchasing
* Traveling across the region to train and develop members of finance and department heads
* Maintaining and clearing down Procure Wizard KPIs, MP Scans, and Outstanding Deliveries
* Reviewing commitments and carrying out ad-hoc requests as needed
* Liaising with suppliers over disputed invoices
* Requesting statements and reconciling back to POs and raising as necessary
* Supervising Procure Wizard Food & Beverage flashes
* Ensuring Purchase Ledger month-end closure procedures are adhered to
* Preparing monthly accrual schedules based on outstanding purchase orders/delivery notes
* Liaising with Central Processing admin regarding prompt payment of invoices
* Liaising with Head Office purchasing regarding pricing and volume issues
* Updating stock sheets on an ongoing basis
The ideal candidate for this position will have:
* An excellent level of business English
* Excellent communication skills (written and verbal)
* A basic understanding and interpretation of financial reports
* Excellent attention to detail, organization, and ability to work under strict deadlines
* Experience in team development
* Commercial understanding and business acumen
* Proven competence in accounting and PMS systems
* Good IT skills in Office applications
* Experience of Opera, Micros, and SAP
* Flexibility regarding travel and work hours, with possible overnight stays
* Experience in hospitality (desirable)
