Overall Purpose of the Job
To provide administrative and systems support to ensure the daily operation of the Service Support Centre (SSC) and Technical Team and to facilitate the coordination of services. The role includes the timely and accurate processing of appropriate paper work in regards to the Technical Team as well as the updating of CAFM (Computer Aided Facility Management System) and the effective utilisation of all other systems. The role is a heavily interactive role and involves daily communication with both internal staff and external clients and specialist partners.
Main Duties and Responsibilities
•Management of the Technical Team schedule in accordance with each clients agreed SLA and estimated hours from the contract.
•Provide on site training to Apleona employees in the use of Apleona equipment
•Maintaining data base of client asset lists, PPM reports, quotations for remedial works arising from PPM actvities
•Ensure all reports & quotations are checked and approved by M&E Manager/Supervisor and the Contracts Manager and issued to the client in a timely fashion.
•Coordination and scheduling of planned, reactive & quoted work tasks for the mobile team and specialist contractors
•Ensure all collated appropriate information from incoming calls, emails, mail and verbal communication is correctly and completely entered into the Computer Aided Facility Management System (CAFM) or appropriate system as required.
Qualifications and Experience
•Experience working in a fast paced Technical Services role environment is desirable
•Knowledge of Facilities administration would be a distinct advantage
•Excellent pc skills and proficiency in Word and Excel is essential
•Awareness of good health and safety practice
•Full clean driving license as occasional Nationwide travel is required for this role.
