Duties and Responsibilities of the Role:Meet with prospective couples and event organisers to understand their visions, preferences, budgets, and any specific requirements for weddings and eventsPresent and recommend available wedding and event packages offered by the hotel, tailoring options to suit clients' needs and preferencesProvide tours of available event spaces within the hotel, showcasing amenities and features that align with clients' preferencesRecommend and coordinate with preferred vendors, including caterers, florists, photographers, musicians, decorators, and any other event service providersNegotiate contracts with vendors, review terms, and ensure all details are accurately documentedAssist in the overall planning process for weddings and events, including developing timelines, layouts, and seating arrangementsHelp clients create and manage their budgets for weddings and events, providing cost estimates and tracking expenses related to the hotel's services.Oversee all aspects of wedding and event days, including coordinating with hotel departments, managing event setup, and ensuring a seamless flow of activitiesMaintain regular and open communication with clients, providing updates and addressing any concerns throughout the planning processCoordinate and lead wedding rehearsals or event walkthroughs to ensure everyone involved understands their roles and responsibilitiesGreet and assist guests during weddings and events, providing directions and answering any questions related to the hotel's servicesCollaborate with the hotel's events and banquet teams to ensure event spaces are set up according to clients' specifications and in a visually appealing mannerAct as the point of contact for any issues or emergencies that may arise during weddings and events, promptly resolving them discreetlyConduct post-event follow-up with clients to gather feedback, express gratitude, and ensure their overall satisfactionRequirements for the role:Minimum 1 years previous experience in wedding planning, event coordination, or a related role within the hospitality industryPreferably Social Media Management experienceStrong organisational and time-management skills to handle multiple weddings and events simultaneouslyExcellent communication and interpersonal abilities to work effectively with clients, vendors, and hotel staffAttention to detail and a commitment to ensuring flawless execution of weddings and eventsCreativity and an eye for design & contribute unique ideas and enhance the overall event experienceProblem-solving capabilities to handle any challenges that may arise during wedding and event planning and executionFlexibility to work irregular hours, including evenings and weekends, based on event schedulesProficiency in using event planning software, online tools, and Microsoft Office applicationsKnowledge of wedding and event trends, traditions, and industry best practicesCustomer-centric mindset and a genuine passion for creating memorable experiences for clients and their guests
