My client, a leader in the online gaming industry, is looking to hire an Office Manager to join their team. You will play a pivotal role in ensuring the smooth operation of the office. This role requires a proactive and personable individual who excels at administration tasks and building strong relationships.
Office Management
1. Working with the Dublin Leadership Team and reporting to the Director, Global Work Experience, oversee the smooth running of the day-to-day operations of the Dublin office, ensuring it is a clean, safe, and welcoming environment for all - includes:
2. Visitor Management (individuals and onsite groups) - supporting travel & social booking requirements, managing staff access card requirements, and coordinating all local requirements for network, meeting room and workstation access.
3. Onboarding New Employees - working with the local hiring manager, ensure that new hires have the appropriate equipment, access and induction processes when starting a role in the Dublin office.
4. Ensure the team has ongoing in-office support to resolve any issues impacting their work experience in the Dublin office.
5. Manage the ordering and accompanying admin for our office supplies.
6. Office admin duties - scheduling meetings, managing parking availability, minute taking, processing expenses etc.
7. Event Management – Planning & delivering key staff and external events.
8. Travel Logistics - booking transport and accommodation and arranging appointments for staff members and visiting VIPs.
9. Supporting the development and maintenance of company policies, standards and handbooks.
10. Ensuring the office environment and procedures meet health and safety regulation standards.
11. Work with the Senior Finance Manager to ensure active tracking of the Dublin office costs, spending and future forecasting/budgeting.
12. Support the development and implementation of initiatives, in collaboration with other stakeholders, to promote a positive and inclusive workplace culture,
13. Helping to plan and deliver social events & staff competitions for key seasonal (Christmas, Halloween, Easter) or industry-specific events
Requirements:
14. Proven experience over 5+ years in office management, administration, or a related field.
15. Excellent interpersonal skills showing an ability to work collaboratively, influence and build effective work relationships within all levels within the organization, to foster a sense of community.
16. Strong organizational abilities with the flexibility to prioritize tasks and manage competing demands.
17. Collaborative and adaptable to changing team and business needs.
18. Good written and verbal communication skills, including the ability to convey information clearly and concisely.
19. Proficiency in G Suite and other relevant software applications.
20. A proactive and resourceful mindset with a willingness to take initiative and problem-solve independently
21. Bachelor's degree or equivalent experience preferred
