Job Purpose:
The Purchasing, Warehouse and Fleet Manager is responsible for overseeing the storage, distribution, procurement of goods and material including the management of all company vehicles including purchasing, maintenance, fuel usage and driver performance. This role ensures efficient warehouse operations, cost-effective purchasing, achieve our ESG targets, compliance with health and safety standards and safe road usage. The Manager works closely with suppliers, logistics teams, and internal departments to maintain stock levels, optimise workflows, and support business needs.
Responsibilities:
Purchasing & Inventory Control:
1. Manage procurement activities, ensuring cost-effective purchasing of goods and materials.
2. Maintain optimal stock levels to meet business demands while avoiding overstocking or shortages.
3. Establish strong relationships with suppliers and vendors, negotiating contracts and pricing for the best value.
4. Conduct regular inventory audits to ensure accuracy and identify discrepancies.
5. Develop and implement stock control procedures to reduce waste, loss, or damage.
Logistics & Supply Chain Management:
1. Coordinate with national and international suppliers and transport providers to ensure timely deliveries and efficient distribution.
2. Track shipment schedules, deliveries, and lead times to avoid supply chain disruptions.
3. Implement logistics strategies to improve operational efficiency and reduce costs.
4. Work closely with internal teams to forecast demand and adjust procurement plans accordingly.
5. Establish sales opportunities with our supply chain, local businesses, and customers via our online shop.
Warehouse Operations Management:
1. Oversee day-to-day warehouse activities, ensuring efficient storage, handling, and distribution of goods.
2. Develop and implement warehouse layout plans to maximize space utilisation and improve workflow.
3. Ensure all inventory is accurately recorded, tracked, and stored in the correct locations.
4. Manage incoming and outgoing shipments, ensuring timely deliveries and minimising stock discrepancies.
5. Maintain warehouse cleanliness, organisation, and compliance with safety regulations.
Health, Safety & Compliance:
1. Ensure compliance with health and safety regulations, including proper handling of hazardous materials if applicable.
2. Implement safety measures in line with risk assessments to prevent workplace accidents.
3. Ensure warehouse staff are trained on proper equipment usage, lifting techniques, and emergency procedures.
4. Maintain accurate records of safety inspections, audits, and compliance reports.
5. Conduct Yard Audits and liaise with Compliance Manager and Helpdesk to ensure all tasks and issues are recorded and completed in a timely manner.
6. Conduct quarterly fire drills in Head Office to ensure compliance with our H&S standards.
Team Leadership & Staff Management:
1. Supervise warehouse and purchasing staff, ensuring high performance and adherence to company policies.
2. Provide training, coaching, and performance management to support team development.
3. Schedule and manage staff shifts, workloads, and task assignments to ensure smooth operations.
4. Foster a culture of efficiency, teamwork, and continuous improvement.
Fleet Management:
1. Track & report on driver performance, fuel usages, CO2 emissions using our Fleet Management software.
2. Ensure all vehicles complete a monthly compliance check and adhere to road safety regulations.
3. Report and resolve any mechanical issues through our fleet partners.
4. Provide quotations and pricing for any new vehicles or repairs.
5. Sourcing and organising EV chargers for hybrid and electric vehicles.
Process Improvement & Cost Efficiency:
1. Identify and implement process improvements to enhance warehouse efficiency and reduce costs.
2. Introduce automation or digital inventory tracking systems where applicable.
3. Monitor KPIs such as order accuracy, inventory turnover, product quality and supplier performance.
4. Develop strategies to reduce waste, optimise purchasing, and improve storage solutions.
5. Provide monthly reporting to senior management and identify and make recommendations for improvements.
Requirements:
Essential Skills & Experience:
1. Proven experience in warehouse and purchasing management, supply chain, or logistics.
2. Strong understanding of inventory control, procurement, and stock management.
3. Experience in negotiating with suppliers and managing vendor relationships.
4. Ability to analyse data and reports to optimise warehouse and purchasing performance.
5. Proficiency in inventory management systems or CRM platforms and Microsoft Office (Excel, Word, Outlook).
6. Strong leadership and team management skills.
7. Excellent organisational and problem-solving abilities.
