The Vhi Group Technology Division have a full time permanent vacancy for the role of Vendor Management Analyst based in either Dublin or Kilkenny on a hybrid basis.
The successful candidate will provide advice on the procurement or commissioning of products and services.
They will ensure vendor management operations within Group Technology runs smoothly by collaborating with stakeholders across Group Technology and Vhi (e.g., Finance, central Procurement, Legal and Control areas) as well as contractors and our suppliers.
The role will involve conducting research, updating systems and supporting Vhi's procurement management process.
Role purpose: Act as a point of contact for colleagues, handling a wide range of queries and service requests concerning vendor and contract management.
Act as procurement lead in Group Technology and apply standard procedures and tools to produce detailed evaluation criteria for complex tenders when required.
Assist in the completion and evaluation of tenders.
Collate information needed to populate the contract management system and act as a contact point, receiving and handling routine updates to the system.
Identify opportunities to improve processes.
Provide advice and guidance in the use of organisational policies and procedures.
Assist in the development of new or improved practices and organisational processes or standards.
Collect information as required on vendor performance and create standard reports on contract performance, by supporting data collection of contract performance.
Support risk management activities within Group Technology via GRC and support the Vendor Relationship team where necessary.
Identify risks and vulnerabilities, assess their impact and probability, and report to the risk management team.
Monitor Vendor KPSs / SLAs to ensure strong performance management of IT vendors and report any exceptions in service to the IT Vendor Management Specialist and IT Risk Manager.
Recommend improvements where necessary and accommodate change where required.
Challenge the status quo.
Support Quarterly risk returns, control testing, and Audit Findings for GT Vendor management.
Act as support to GT Vendor Management Specialist.
Key criteria Technical Certifications in business analysis will be highly regarded or equivalent work experience would be advantageous with 1-2 years' experience in a procurement, risk or compliance role in a highly regulated environment.
Strong knowledge and experience defining purchasing policies and procedures.
Proven track record prioritising multiple projects or initiatives and ensuring they are completed on time and within budget.
Familiar with the requirements aligning to organisational policies pertaining to supplier management e.g., TPRM, Info Sec, IT Security, Data Protection and Procurement Procedure.
Familiar with the use of different systems i.e., GRC, Planview, SharePoint, JIRA is an advantage.
Proven experience of following standard approaches for the assessment of information systems against information assurance policies and business objectives.
Proven ability to produce and analyse registers and histories of vendors and verify this data is kept up to date.
Experience of designing, creating, customising and maintaining learning materials and resources to deliver agreed outcomes.
Experience Experience of working with vendor management and procurement frameworks.
Strong ability to analyse and develop accurate conclusions to support decisions based on key data.
Experience collaborating with technical teams to develop and agree status reporting.
Service-oriented mindset including risk mitigation and cost of ownership.
Interpersonal Strong team player who has developed effective working relations with other colleagues with excellent collaboration skills.
Ability to support changes to work practices and capture and retain knowledge.
Demonstrated alignment to the Vhi values.
