General Overview:
The Facilities Manager (FM), based on site, will be responsible for managing external contractors across our two client sites in Tallaght and Ballyfermot on the outskirts of Dublin. The FM will be expected to work a five-day week, typically from 08:00 - 17:00, though flexibility will be required to meet business and client needs. The FM will ensure statutory compliance, well-executed PPM routines, and meticulous record keeping. Additionally, the FM will drive continuous improvement in the CAFM system and grow the operational pipeline through regular audits of sites, identifying non-compliance areas that require remediation.

Key Responsibilities:
1. Visit, supervise, and organise operations at the Henkel Tallaght and Ballyfermot sites as needed.
2. Prepare for the annual plant shutdown, typically occurring in August, well in advance (normally July).
3. Provide support and advice to clients and assist with site visits as required.
4. Liaise with and assist the Grosvenor finance team in invoice and purchase order processing, using the client system 'Arriba'.
5. Offer technical support and assistance to contract administrators.
6. Hold suppliers accountable for SLAs, KPIs, customer service levels, and costs.
7. Contribute to the growth and development of our approved suppliers network.
8. Ensure full statutory compliance across the sites in your portfolio.
9. Attend client meetings and support in managing security clearance/supervision for subcontractors.
10. Assist with asset collections and new contract mobilisations as required.
11. Conduct Technical Audits at various locations and assist the team in obtaining quotations for remedial works and small projects.
12. Maintain contractual margins for all quoted reactive works.
13. Support PPM activities and assist with managing in-house PPMs where necessary.
14. Constantly review operating models for efficiency savings and self-delivery opportunities.
15. Maintain up-to-date records of subcontractor induction and competency information.
16. Manage vetting of RAMS and safe systems of work for subcontractors.
17. Maintain F-Gas registers and systems for permits, including permit to work, hot works, working at height, and other necessary safety protocols.
18. Chase progress updates on spares, materials, and equipment.
19. Perform any other ad hoc tasks as deemed necessary by the Head of Hard Services.
