Job descriptionInland Fisheries Ireland has an exciting new roles for a Fleet Services Administrator to join our team Field Services Division.The Field services Division manages a fleet of over 200 vehicles in addition to business hires and seasonal hires. It also manages a very large boat and trailer fleet.The motor and boat fleet are highly regulated areas with many legal and compliance elements. Examples include safety, taxation, fuel fraud monitoring, insurance, asset management and disposal, climate action targets.The administrator is responsible for much of the day to day management of this area.ABOUT USInland Fisheries Ireland are the environmental agency responsible for protecting, managing and conserving Ireland's inland fisheries and sea angling resources.More information can be found by visiting our website.VISION, MISSION & VALUESVisionTo place the inland fisheries resource in the best sustainable position possible for the benefit of future generations.MissionTo protect, manage and conserve Ireland’s inland fisheries and sea angling resources and to maximize their sustainability and natural biodiversity.ValuesWe work collaboratively with professionalismWe are open, transparent and accountableWe act with respect and integrityWe are committed to stewardship and sustainabilityKEY RESPONSIBILITIESProviding general administrative support to the Logistics DepartmentAssist in the effective management of IFI's transport fleet (including boats & trailers), monitoring performance, suitability and efficiency, maintenance costs and prepare replacement proposals.Liaising with IFI’s Fleet Maintenance and Telematics providers as required to assist in the efficient running of IFI’s fleet.Support the organisation to ensure regulatory compliance in respect of tax, insurance & road worthiness certification.Support the field services team in the management of vehicles in respect of BIK and utility.Assist all staff as required in respect of insurance related supports, tax, CVRT/NCT, hires & leases.Assist the field services team to comply with procurement process and procedure.Assist in the development and evaluation elements of product and service procurement.Assist in the collation and delivery of evidence for audit purposes.Support the organisation of internal and external activities/events, collating and recording required information / documentation to ensure all department activities are administered efficiently.Assist in the development, implementation and management of asset management software to ensure the efficient management of IFI's assets, as requiredProvide support for the general administrative function in Citywest Headquarters as neededManage own work from start to finish to strict deadlines.Attending meetings, taking minutes, and typing of all forms of correspondenceProvision of finance administration ensuring proper records are kept including, purchasing, invoices, generating payment requisitions, purchase orders, fixed assets (updating register, tagging, stock checks etc.), debtors, petty cash, lodgements, sales and rates invoices, costing of projects and ad hoc reports, creditors reconciliations and other control accounts, tax matters etc.Prepare reports and other materials, using standard and some non-standard formats and software.Produce management information from data and/or statistics in order that accurate and reliable information is available for unit/departmental decision making.Provide administrative support for events, i.e. conference, seminars & training, using a high degree of personal initiative and responsibilityDevelop and maintains spreadsheets and simple databases, including shared databases/spreadsheets on an intranet platform.Arrange for on-going maintenance and repair of offices, accommodation and equipment.Work with new technologies introduced.Provisions of data and information to departmental colleagues as required.Assist in the preparation of account as required.Complete any other reasonable duties as requested by applicable line managerThis document is not intended to supply an exhaustive of duties; this job description merely sets out to describe the main functions and activities of the post.
