Job Summary:
My client is seeking a dedicated and experienced Legal Secretary to join our Family Law team. The ideal candidate will have a strong background in family law, excellent organizational skills, and the ability to handle sensitive client matters with the utmost confidentiality and professionalism.
Key Responsibilities:
Administrative Support:
1. Provide comprehensive administrative and secretarial support to solicitors and legal executives within the Family Law department.
2. Manage diaries, schedule appointments, and organize meetings.
3. Prepare and format legal documents, correspondence, and reports with precision and attention to detail.
4. Handle court documents and ensure timely filing and compliance with court procedures.
Client Interaction:
5. Act as a point of contact for clients, handling inquiries, and maintaining professional relationships.
6. Manage client communications via phone, email, and in-person meetings with sensitivity and confidentiality.
7. Assist in the preparation and coordination of client meetings and conferences.
Document Management:
8. Maintain accurate and organized case files, both electronically and in hard copy.
9. Manage document flow, including drafting, editing, and proofreading legal documents such as affidavits, pleadings, and contracts.
10. Conduct legal research and prepare summaries as required.
Court and Legal Processes:
11. Assist with the preparation of court bundles and documentation for hearings and trials.
12. Coordinate with courts and other legal entities to arrange for court filings and service of documents.
13. Track and monitor case deadlines, ensuring all court and filing deadlines are met.
Billing and Financial Tasks:
14. Assist in the preparation of client billing and manage expense claims.
15. Handle accounts, including maintaining records of disbursements and client payments.
General Office Duties:
16. Manage office supplies and ensure the efficient running of the office.
17. Support the wider team with ad-hoc tasks as required.
Experience:
18. Minimum of 2-3 years of experience as a legal secretary, preferably within a family law practice.
19. Experience with Irish legal procedures and court systems.
Skills:
20. Proficiency in Microsoft Office Suite and Case management system.
21. Excellent typing and transcription skills with a high level of accuracy.
22. Strong organizational skills with the ability to prioritize and manage multiple tasks.
23. Exceptional written and verbal communication skills.
24. Ability to work independently and as part of a team.
25. High level of discretion and confidentiality
