About the Role
We are seeking an experienced Property Manager to oversee a diverse OMC-managed portfolio. This role is ideal for a proactive, detail-oriented professional with a strong background in multi-unit development management. The successful candidate will be responsible for site operations, stakeholder engagement, financial oversight, compliance, and issue resolution.
Key Responsibilities
1. Oversee the management of Residential Owners’ Management Companies (OMCs) and ensure the upkeep and compliance of multi-unit developments.
2. Conduct regular site inspections, document findings, and action necessary maintenance or regulatory requirements.
3. Develop and maintain strong relationships with Board Members, Directors, Residents, and Contractors.
4. Work closely with stakeholders to address special requirements and resolve property-related issues.
Financial & Budget Management
1. Assist in the preparation and management of service charge budgets.
2. Implement spending controls and work with accounts on debt collection efforts.
3. Track service charge payments, issue reminders, and provide financial updates to stakeholders.
Contractor & Maintenance Oversight
1. Obtain and review maintenance and repair quotations, ensuring cost-effective solutions.
2. Oversee contractor performance, maintain accurate records in Blockman CRM, and ensure service agreements (SLAs) and KPIs are met.
3. Coordinate statutory and compliance-related inspections, including fire safety, lift maintenance, and building regulations.
Compliance & Risk Management
1. Ensure full compliance with industry regulations, OMC legislation, and health & safety requirements.
2. Maintain and update fire safety, emergency systems, and compliance records.
3. Manage risk assessments to safeguard residents, assets, and legal standing.
Stakeholder & Resident Communication
1. Serve as the primary point of contact for Board Members, Residents, and Directors.
2. Respond to queries via email and phone, ensuring professional and timely communication.
3. Organize and conduct monthly and quarterly stakeholder meetings.
Issue Tracking & AGM Coordination
1. Log and manage all incoming requests, emails, and phone calls in Blockman CRM.
2. Monitor the status of work orders, follow up with contractors, and provide updates to stakeholders.
3. Coordinate and prepare Annual General Meetings (AGMs), including venue bookings, report compilation, and follow-up actions.
Who We’re Looking For
1. Candidates must be able to demonstrate their experience working with OMCs or similar multi-unit developments.
2. PSRA License (Class D) is essential for managing OMC properties.
3. Minimum of three years of experience in property management, facilities management, or a similar role.
4. Strong financial acumen, with experience in budgeting, service charge management, and financial reporting.
5. Working knowledge of Blockman CRM or similar property management systems is an advantage.
6. Ability to manage multiple sites, contractors, and stakeholder relationships simultaneously.
7. Excellent communication skills, with the ability to handle resident queries, board meetings, and contractor negotiations.
8. Full driving license and access to a car for client site visits.
