Reception & Admin Support
This is a part-time/flexible Reception & Admin Support role based in Dublin that will cover reception and administrative duties during assessment days for the ASD department, which conducts autism assessments for children on behalf of the HSE.
The successful candidate will be responsible for liaising with Servisource Project staff to organise assessment day bookings, sending reminders and confirming appointments with clients, rescheduling assessments if needed, greeting clients, liaising with clinicians, scanning/photocopying and transferring necessary documents, logging and recording necessary assessment day data, cleaning and tidying up, inventory checking for office supplies, and performing all necessary security checks and lock-up procedures.
Key Responsibilities:
* Liaising with Servisource Project staff to organise assessment day bookings.
* Sending reminders and confirming appointments with clients 1-2 days prior to assessments.
* Rescheduling assessments if needed for any cancellations/no shows during the day.
* Greeting clients and welcoming them to assessment days.
* Liaising with clinicians to assist with requests on assessment days.
* Scanning/photocopying and transferring of necessary documents.
* Logging and recording necessary assessment day data.
* Cleaning and tidying up during assessment days.
* Inventory checking for office supplies.
* Performing all necessary security checks and lock-up procedures on assessment days.
Requirements:
* Excellent interpersonal, communication (written and verbal) and listening skills.
* Punctuality.
* Strong planning, organisation and multi-tasking skills.
* Strong administration and documentation management skills.
* High level of motivation and pride in what one does is key to success in this role.
* Full driver's license and access to own vehicle is desirable.
The working hours will vary and flexibility is required, however a general workday will be 09.00 – 17.00 with 1-hour lunch break and a flexible coffee break of 15 minutes.
