Job Summary
The Executive Assistant will coordinate MetroLink executive duties and provide general administrative support to the MetroLink Team.
Key Responsibilities
* Building and maintaining strong relationships with key stakeholders
* Managing professional and personal scheduling for the Directors, including agendas, mail, emails, phone calls, client management, and other logistics
* Coordinating complex scheduling and calendar management, as well as content and flow of information to senior executives
* Planning and orchestrating work to ensure that senior executives' priorities are met
* Preparing presentations and reports
* Organizing meetings and workshops
* Screening and prioritizing emails of Project Director
* Meeting and greeting visitors at all levels of seniority
* Taking meeting minutes
* Handling enquiries and requests
* Preparing letters
* Screening telephone calls
* Taking messages and following up
* Assisting with travel arrangements
* Implementing and maintaining procedures and administrative systems
* Printing, copying, and filing
* Setting up purchase orders
* Liaising with staff from other departments
* Other duties and responsibilities appropriate to the position
Requirements
* Knowledge and awareness of the importance of being a representative for MetroLink
* Excellent verbal and written communication skills
* Attention to detail
* Skills in preparation and compilation of reports
* Skills in preparation and compilation of presentations
* Experience of working in a role where discretion and confidentiality are essential
* Experience of working with diverse teams
* Ability to work on own initiative, with multitasking capabilities
* Ability to work to tight deadlines and prioritize tasks effectively
* Strong interpersonal skills - ability to motivate others
* Experience of undertaking and effectively managing a significant workload
* Advanced Microsoft Office and SharePoint knowledge and experience
