Guidant IRC is currently hiring on behalf of a Brokerage Client for the role of an Administration Manager.
Location: South Dublin- Fully on Site
Contract type: Full time Permanent
Hours: Monday - Friday, 9am-5.30pm
Salary range - Negotiable based on experience.
All applicants must be living in Dublin and hold a valid working permit that allows them to work full time in Ireland.
This small brokerage deals with mortgages, pensions, investments and life and health cover plus advises on budgeting and financial planning.
Responsibilities - reporting to the managing director, the appointed person will:
1. Plan and coordinate administration procedures and systems helping to streamline processes at the same time.
2. Delegate and monitor tasks to personnel and assume responsibilities for all aspects of the office.
3. Assess staff performance annually and provide inhouse or external coaching and guidance as and if necessary to ensure maximum efficiency.
4. Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
5. Manage staff roster schedules and specific task deadlines.
6. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
7. Monitor costs and expenses to assist in budget preparation.
8. Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
9. Organise and supervise any other office activities delegated by the managing director.
10. Ensure operations adhere to policies and are meet all the compliance and regulations parameters.
11. Keep abreast with all organisational changes and business developments.
Requirements and skills:
12. QFA or higher
13. Brokerage experience (3+ years)
14. Proven experience as administration manager
15. In-depth understanding of office management procedures and legal policies
16. Familiarity with financial and facilities management principles
17. Proficient in MS Office, Excel and other applications
18. An analytical mind with problem-solving skills
19. Excellent organizational and multitasking abilities
20. A team player with leadership skills
21. BSc/BA in business administration or relative field
