Office Administrator
Wave Dynamics Acoustic Consultants (www.wdacoustics.com) are seeking an Office Administrator to join our team. The role will be based in either of our offices (Dublin - Santry or Wexford - Gorey). Wave Dynamics is a market leader in the delivery of acoustic consultancy services, working on milestone projects in Ireland and the UK, mainly focused on the built environment.
The company is now looking for a suitable, experienced candidate to join our team as a secretarial administrator/office manager. The role is available from our Dublin office in Santry or our Wexford office in Gorey.

Key Responsibilities:
* Preparation of invoice reports.
* Excellent knowledge of Microsoft Office to include Windows, Excel, Word, etc.
* Preparation of time sheets and holiday tracking for each employee and manage the holidays.
* Book meetings, stationary purchases, and anything else needed by the business to function.
* Book flights and manage the calendar.
* Excellent attention to detail and a self-starter.
* Work with suppliers, contractors, and staff on day-to-day operations.
* Manage filing systems.
* Assist in the set-up and maintenance of a modern and professional office environment.
* Assist with managing company accounts, including reconciling payments, issuing invoices, and debtor and creditor management.
* Assist with the preparation of tender bids.
* Assist with the preparation of health and safety documentation for site deployments.
* Handle general administrative tasks, including telephone call handling, data entry, document preparation, filing, and email management.
* Support job planning and coordination.
* Collaborate with other team members to achieve common goals and objectives.
Skills and Competencies:
* At least 3 years’ experience in a similar environment in a broad business support role, including PA/Office assistant; some accounts experience would be an advantage.
* Experience with accounts software packages such as Xero is a plus.
* Experienced in customer management with strong people skills.
* Strong IT skills and advanced user of the MS Office Suite.
* Assertive, ambitious, and possesses a great sense of initiative.
* Self-starter with the ability to pre-empt situations and resolve issues effectively.
* Strong communication skills, highly organized, with the ability to work as part of a team and independently.
* Motivated to develop their career.
* Ability to use Outlook.
* Strong organizational skills and attention to detail.
* Ability to multi-task, organize, and prioritize work.
* Excellent written and verbal communication skills.
* Excellent interpersonal skills.
* Willing to learn new skills.
* Able to maintain confidentiality.
* Currently eligible to work in Ireland.
