Job Title: Administration Manager
Location: South Dublin, Fully On-Site
Contract Type: Full-Time Permanent
Working Hours: Monday - Friday, 9am-5:30pm
Salary Range: Negotiable Based on Experience
We are seeking a highly skilled and experienced Administration Manager to join our client's team. The successful candidate will be responsible for planning and coordinating administration procedures and systems, streamlining processes, and ensuring the smooth flow of information within the company.
Responsibilities:
* Plan and coordinate administration procedures and systems to improve efficiency and productivity.
* Delegate and monitor tasks to personnel, assuming responsibility for all aspects of the office.
* Assess staff performance annually, providing in-house or external coaching and guidance as needed.
* Ensure the timely and adequate flow of information within the company to support business operations.
* Manage staff roster schedules and task deadlines.
* Monitor inventory of office supplies and purchase new materials while adhering to budget constraints.
* Monitor costs and expenses to assist with budget preparation.
* Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians).
* Organize and supervise other office activities delegated by the managing director.
* Ensure operations adhere to policies and meet compliance and regulatory requirements.
* Stay up-to-date with organizational changes and business developments.
Requirements and Skills:
* QFA or higher qualification.
* At least 3 years of brokerage experience.
* Proven experience as an administration manager.
* In-depth understanding of office management procedures and legal policies.
* Familiarity with financial and facilities management principles.
* Proficient in MS Office, Excel, and other applications.
* Analytical mind with problem-solving skills.
* Excellent organizational and multitasking abilities.
* A team player with leadership skills.
* Bachelor's degree in business administration or a related field.
