Contract: Full-time, Permanent Contract
The purpose of this role is to coordinate and manage the new housing projects documentation, files and systems for the development team in an administrative function.
What you will do:
* Maintain the project tracker to record all up-to-date data including project status, progress reporting, and producing reports as required. This involves tracking the progress of sales from sale agreed, through the funding application process to handover to property management on an Excel spreadsheet. Data entry.
* Responsible for transferring ownership of utilities accounts for all new Focus Housing Association stock.
* Responsible for entering the details of all new stock into the Housing Management Systems. Data entry.
* Process the development team's Purchase Orders and Invoices on the Focus accounts system in conjunction with the finance function.
* Communicate all matters relating to administration and payments to the Team in person or electronically.
* Provide administrative support around the input to and upkeep of the asset management plan.
* Work effectively as a team member of the Development unit and keep the team updated on all aspects of administration.
* Take all reasonable steps to be informed of, and accountable to, Focus Ireland Policy and Procedure pertaining to the Development areas of activity relevant to the conduct of the role.
* Collaborate with all staff in Focus Ireland, as required, in any area of activity that supports Focus Ireland's objectives.
* Offer personal commitment and flexibility towards ensuring the objectives and accountabilities of the role are achieved.
* Engage in supervision sessions on a regular basis with the Development Team Leader.
* Participate in relevant training and development courses as agreed with the Development Team Leader.
* Undertake such other duties as might be reasonably assigned from time to time in consultation with the Development Team Leader.
* Be vigilant to any Health, Safety, and Welfare risks in the workplace and bring any concerns to the attention of your line manager or Health & Safety Representative.
What you will need:
* Previous experience in a similar role working for an AHB, Local Authority, Estate Agency, or property management company. OR
* Similar experience working in a Finance or legal department working on housing-related matters.
* Proficiency in Microsoft Office - Word, Excel, PowerPoint.
* Excellent communication skills, verbal and written, with a strong emphasis on attention to detail.
* Strong applied ICT skills and can demonstrate a systematic and comprehensive approach to work.
* Managing, recording, and collating technical and financial information. Previous experience in data entry essential.
* Strong, proven organisational skills and the ability to work accurately and effectively under pressure.
* Ability to effectively communicate at all levels of the organization.
* Maintain multiple relationships with consistency and a high degree of customer care.
