POSITION: SPECIAL EVENTS ASSISTANT (student)
HOURS OF WORK: variable to a maximum of 36.25 hours per week (must be able to work weekends, evenings and holidays as required)

SALARY: $17.20 per hour
PERIOD OF EMPLOYMENT: May 5 to August 31, 2025
WHAT CAN I EXPECT TO DO IN THIS ROLE?
You Will
1. Be a representative of one of Kingston’s premium and internationally recognized tourism sites.
2. Contribute to the planning of events and potential redesign or introduction of new events at Fort Henry in consultation with the Special Events Department.
3. Take initiative in providing administrative and operational support for events and promotions.
4. Assist in operation of technical equipment as required, i.e. operating lights and wireless microphones during Sunset Ceremony shows.
5. Prepare agendas, attend meetings and report minutes from Special Events unit meetings.
6. Establish location requirements and physical event set up; follow-up reports on events with recommendations for improvements/enhancements.
7. Source and arrange a variety of support services, including coordinating volunteer recruitment.
8. Prepare and execute task lists, liaise with internal and external clients in the pre, during and post event processes as required.
9. Maintain statistical data required from events as required.
10. Maintain a high level of internal/external customer service/visitor appreciation.
11. Complete simple painting tasks as needed.
12. Produce and distribute internal event details, posters and newsletters as required.
13. Coordinate seating for special events as required.
14. Work safely at all times and report unsafe activities immediately to your supervisor.
15. Embody the SLPC’s equity, diversity and inclusion principles while interacting with staff and guests.
HOW DO I QUALIFY?
You Have
1. Knowledge in organizing, planning, designing and staging of public events and promotions.
2. Knowledge of appropriate public relations and communication techniques and practices.
3. Ability to communicate effectively with staff, sponsors, volunteers and service contacts.
4. Working knowledge of computer software such as Microsoft Office Suite and various presentation, graphics and web software applications. Experience with video editing, experience with graphic design applications is an asset.
5. The ability to meet the physical demands of the job including lifting, carrying, holding, as well as loading and unloading materials and equipment.
6. The ability to learn all safety protocols and procedures to ensure personal, guest and fellow staff safety is maintained at all times.
7. A valid driver’s licence.
