Job Title: Receptionist & Accommodation Officer (Full Time)
Are you enthusiastic and organized? We are looking for a dedicated Receptionist & Accommodation Officer to join our Administration team at NED College English School in Dublin. This role is essential in delivering exceptional customer service and administrative support, ensuring all students have a positive and professional experience. You will maintain an efficient front desk and housing environment, contributing to the overall success of our organization by efficiently allocating accommodations and providing excellent support to our students.

What You Will Do:
We are seeking a dynamic Receptionist & Accommodation Officer to join our team. This role involves general reception tasks and supporting students in finding accommodation. You will report to the Admissions Manager. On a day-to-day basis, you will:
* Provide administrative and accommodation support to a multicultural range of English language students, building rapport and communicating efficiently and professionally with them.
* Handle front-of-house student queries, redirecting them to the appropriate department (Sales, Academic, Marketing) as needed.
* Greet visitors, answer phone calls, and/or transfer calls to the appropriate person/department.
* Coordinate and confirm accommodation bookings for students.
* Monitor the company’s system for accommodation and airport transport requests.
* Ensure special requests (e.g., room preferences) are met.
* Maintain relationships with hostels, student houses, and other accommodation providers.
* Negotiate rates and ensure compliance with company policies.
* Assist with issues or complaints regarding accommodation.
* Maintain accurate records of bookings and guest stays.
* Coordinate with drivers and transport services for timely arrivals and departures.
* Handle any changes or delays in flight schedules.
* Issue Accommodation Letters to students as required.
* Manage invoices for accommodation and airport transport, ensuring timely payment and system updates.
* Liaise with third-party accommodation and airport pick-up providers, ensuring payments are made as required.
* Ensure delivery of correct information from school to accommodation providers and students in line with our policies and procedures.
* Collaborate with colleagues from Administration, Marketing, Academic, and Sales teams to deliver the best service to students.
* Manage payments from students for textbooks and manage petty cash as required.
* Dispense textbooks, letters, and certificates to students as required.
* Cover team members' tasks when necessary.
* Book third-party services, such as skill training courses.
* Handle ad-hoc administrative tasks as required.
Minimum Requirements:
* Previous experience in a similar role.
* Proficiency in English. A second language is an advantage.
* Computer and MS Office literacy.
* Excellent customer service orientation.
* Keen attention to detail and strong problem-solving abilities.
* Strong interpersonal, communication, collaboration, and empathy skills.
* Ability to adapt quickly to a changing environment.
* Comfortable dealing with people from diverse backgrounds, cultures, and languages.
