About the Role:
The Office Manager will be responsible for the day to day management and administrative support to the Everest Reinsurance Company Ireland Dac (ERCID) team. This is a temporary position and the role holder will work a hybrid schedule of 4 days in the office and 1 day remotely per week.
Role & Responsibilities (include but not limited to):
Office Management
1. Meeting & Greeting visitors to the office.
2. Managing incoming/outgoing post/courier services.
3. Ordering and managing office supplies (including stationery, coffee, canteen supplies).
4. Provide support for deliveries of IT equipment (laptops, accessories, mobile phones etc).
5. Provide IT support for stock swaps on reported issues.
6. Maintaining the condition of the office and arranging for necessary repairs.
7. Maintenance of office machines & appliances (excluding IT).
8. Liaise with landlord, contractors and vendors on behalf of Everest.
9. Provide co-ordination support for contractor or vendor visits.
10. Managing the office desk booking system, (Zero).
11. Ad-hoc trouble shooting, minor on-site issues that are reported by employees (issues with desk set up/coffee machine error etc.)
Health and Safety in the office
1. Reviewing and updating health and safety requirements for the office (including valid First Aid and Fire Marshall certificates, First Aid supplies) and ensuring health and safety policies are observed.
2. Organising relevant H&S training for the office.
3. Arranging regular testing for electrical equipment and safety devices.
Administrative support
1. Managing Dublin DEI CSR Team & Planning and organising events and charity days for the Dublin office.
Diary and travel management for ERCID staff, including:
1. Booking of hotels and flights for CEO via Clarity travel system; including preparing travel itineraries, contact details and boarding passes where appropriate.
2. Miscellaneous administrative tasks to support the ERCID team.
Finance Department support.
1. Supporting Finance Dept. with monthly invoicing including, signing off ad hoc billing for example taxis, shredding etc.
2. Completing monthly expense report for CEO via Concur system.

8. Proficient in Microsoft Word, PowerPoint, Excel, Teams and Adobe Acrobat desirable.
