My client, a global pharmaceutical company is seeking to hire an Executive Assistant to join their team and support their CEO.

Based in Dublin 4, offering hybrid working options Duties & Responsibilities Coordinates complex scheduling and extensive calendar management for the President, as well as management of content and flow of information through prioritisation to ensure priorities are met and best practices are upheld.
Oversees daily functional operations through collaboration with leaders and colleagues, performing an array of administrative tasks Prepares and collates information for meetings to include agendas, relevant documents/presentations and reports and ensures effective and timely distribution.
Proactively follows up on any outstanding action items from previous meetings and seeks updates.
Performs the booking of complex travel arrangements and accommodation requirements for the President and SLT, directly and via travel agency as required, collating necessary travel documentation including Visas and any necessary travel documentation.
Compiles information for reports/presentations through collaboration with relevant teams, in useable and presentable formats.
Organising internal and external meetings ensuring preparation and circulation of relevant documents in advance.
General Administrative duties including reconciling of expense reports in line with company policies, printing of relevant documents, posting/arranging of couriers.
Skills and Experience Desired for this role 3+ years experience providing personal assistance / administrative support at C-suite level, ideally in an organisation where you were the go to person in a busy office environment.
Demonstrated ability to work flexibly and adapt to change in a fast-paced environment.
Proven ability to handle confidential information with discretion.
Strong customer presence - excellent communication, presentation, and interpersonal skills.
Strong relationship management skills, distinctive pro-active problem-solving skills.
Excellent planning and organisation skills, ability to multi-task, plan and prioritise work schedule for self and work within agreed timescales.
Excellent attention to detail as well as demonstrating an ability to focus on higher level overview.
Experience managing and developing strong and productive working relationships.
