Job Title Freight Forwarding & Sales Administrator Position Type Full Time Location Waterford Airport bus. Park Reports to Rene Wubben Job Purpose: To assist in the smooth and efficient operation of forwarding within the company. Email, Booking, scheduling, and controlling collections and deliveries. To assist the team with administrative duties where required. Responsibilities Take the initiative on pricing and answer freight forwarding queries from inbound emails and phone enquiries. Manage, and action the forwarding activities in a timely manner by liaising with colleagues and customers. Provide rates to customers in a timely manner based on current trends Set up and manage rate cards for regular routes. Manage the day-to-day administration and recording of movements, incidents, and issues on the Transport Management System including booking jobs on the system. Create and manage all collections and deliveries from end to end with the sub-contractor. Allocation and delivery including debtor and creditor information. Ensure comprehensive records are maintained against all jobs including any relevant documentation. Produce and issue daily reports to key customers if required. Evaluate sub-contractor rates vs historical activity and ensure departmental profit margins are consistently reviewed and improved. Check sub-contractor rates provide value for money and surcharges (LSS, FSC, Marpol/IMO) are in line with other carriers. Assist accounts team with queries and reconciliation of sub-contractor invoices. Preparation and submission of paperwork for customs declarations for all import/export movements ensuring compliance with all regulatory requirements. You may be required to assist with providing information out-of-hours to customers /hauliers on occasion via your work mobile. Maintain and update documents pertaining to customs in a file management system. Maintain and build customer relations. Ensure upfront payments are taken if applicable. Price and respond to inbound emails and phone enquiries. Set up and manage rate cards for regular routes. Communicate with customers advising of annual rate increases. Monitor fuel surcharges on monthly a basis advising customers of increases/decreases ensuring that the costs provided by ferry companies are up-to-date and communicated to all staff. Assist accounts team with queries. Maintain and update documents pertaining to customs in a file management system. To follow all H&S policy and procedures and report any defects to your Line Manager. This list is not exhaustive and may be changed in line with business requirements Qualifications and Skills Previous customs experience and/or experience of working in a forwarding or logistics environment. Strong planning, organisational and administrative skills. Attention to detail and will pride yourself on high quality standards. A team player who is adaptable, solutions-focused, and also able to work on your own initiative. Strong customer service orientation and able to communicate clearly and effectively with an ability to build professional relationships with both internal and external stakeholders. Able to work at pace, to deadlines and able to prioritise workload effectively. Comprehensive knowledge of MS Office, specifically Excel. 3rd Level Degree in Business/Supply Chain or related discipline advantageous.
