Position Summary: The primary responsibility of this role is to provide support and assistance to the site by handling cross functional administrative duties and for overseeing purchasing activities ensuring that procurement processes are carried out in compliance with company policy.
Key Responsibilities and End Results: (Essential responsibilities include but are not limited to the following):
Raising purchase requisitions for various departments and maintain continuous purchase order integrity on CoupaResponsible for timely payment requisitions and ensuring purchase orders are reconciled for paymentLiaise with centralized payments function to ensure timely payments.Sourcing ad hoc suppliers and quotation requests as requiredAssist in booking travel/accommodation in line with company travel policies and manage hospitality requests.Notify/Locate Point of Contact for Visitors/Candidates and adhere to visitor protocol.Complete inductions with visitors and contractors as required and follow through on work completion reportsManage the switchboard and handle incoming calls, emails and post efficientlyH.R.
Administration including support on recruitment administrationSetting up new hires on the clocking machine, creating badges, manage access control and badge issue/returnManage lockers for new hires and leavers, maintaining up to date recordsSupport EHS and facilities administration.Support creating documents/SOPsKeep and maintain clear records to comply with company internal and external audit standards.Support all company safety and quality programs and initiatives.Ensure ongoing compliance with GMP in all practices, recording of events and processesEnsure compliance with all learning from all GMP training eventsOther responsibilities may be assigned from time to time as needed based on the evolution of the company and the requirements of the department / position.Job Specifications : The minimum education and experience required to perform this job competently.
Have a minimum of 5 years' experience in a similar role and / or a business administration qualificationExperience using ERP systems highly desirableExperience in purchasing and procurement processes highly desirableSkills and Attributes: Proficient in Microsoft Office applications essentialExcellent written and spoken English, strong communicatorHighly Professional and ConfidentialExcellent attention to detailAbility to multi-task and prioritise.Excellent organisational skills.Positive, proactive attitude and a team player
