The Alumni, Fellows and Members team sits within the RCSI Department of Development, Alumni Relations, Fellows and Members.
About the post: The Alumni Relations Events Executive is an important role within the Development, Alumni Relations, Fellows and Members office developed to support the success of our engagement programmes for RCSI's alumni community as well as RCSI's affiliated surgical community.
The Alumni Relations Events Executive is primarily responsible for planning, organising and delivering an annual programme of events and experiences that build and strengthen lifelong engagement between RCSI and its global alumni and surgical communities.
Job Responsibilities Event Planning Preparing an annual programme of events that has regard for overall DARFM Strategy, existing data/analytics and includes clear objectives and metrics for each event; Developing an event plan including budget, key deliverables, timelines and staffing requirements for each event; Inputting into the design, messaging and distribution of event related marketing materials including invitations; Coordinating general registration for each event ensuring that responses are tracked, recorded and inputted into the CRM.
Identifying registration trends and responding to same as required; Coordinating VIP invitations for each event in conjunction with wider DARFM office as required; Liaising with internal and external stakeholders on the planning of the event e.g.
porters, venues, caterers, photographers, videographers, media services/AV, musicians, alumni representatives etc.
Inputting into procedures and speaking notes for all events.
Communicating same to key stakeholders as required; Collating and reviewing best practice SOPs for event planning on an on-going basis; Carrying out administrative duties associated with events e.g.
responding to queries, coordinating travel and accommodation with RCSI Travel.
Event Management End to end management of event from registration to review including technical, operational and staffing; Building event registrations using appropriate platforms; Preparing event staffing rotas and briefing materials in advance of the event; Coordinating pre-event briefings and training as required; Liaising with event attendees to ensure the most positive experience possible; Delivering solutions-focused inputs to ensure each event is executed to the highest possible standard; Conducting post-event reviews, gathering feedback and data after each event from stakeholders and attendees.
Presenting reviews and recommendations after each event.
Engagement Assist in the production of publications, including the annual Alumni magazine and the annual Fellows and Members magazine, newsletters and other marketing collateral including presentations, videos, brochures and online content; Assist in the development, recording and reporting of engagement metrics for Alumni, Fellows and Members as well as data updates, reporting and insights; Assist in the recruitment, activation and stewardship of volunteers, particularly those involved with events; Assist in the delivery of good customer service to all stakeholders, internally and externally, by responding to queries and providing information in a timely fashion; Attend other University events and conferences, as required.
General Duties Acting as day-to-day point of contact for the Alumni function within the office; Ensuring the efficient administration of the department by contributing to the development and implementation of work systems, processes and policies; Carrying out research and ad-hoc projects as directed; Performing additional duties as expected in a dynamic team.
