The Role
Weir & Sons are currently looking for an experienced Executive Assistant to support the Board of Director and work closely with the Managing Director Chris Andrews. The ideal candidate will be a highly organised, confident and experienced individual with a passion for excellence and helping others to be effective.
Essential duties & responsibilities:
Administration:
1. Maintains Managing Director's calendar.
2. Comprehensive and proactive diary and email inbox management.
3. Sets priorities and plans, prioritizes and schedules appointments, meetings, and other engagements.
4. Optimize time & meetings.
5. Conserves time by reading, researching, and routing correspondence. Initiates routine and non-routine correspondence with minimal directions.
6. General administrative duties to include filing (paper and electronic), processing expense claims, travel bookings; incoming and outgoing post, archiving etc.
7. Researches, captures, and compiles data to prepare presentation materials, spreadsheets and customized reports.
Communication & Partnerships:
1. Collaborate with other internal and external stakeholders on cross functional projects and deadlines.
2. Other ad hoc projects that fit the needs of the business.
3. Contribute to the excellent reputation of Weir & Sons through professional, friendly and respectful interactions internally and externally.
Board of Directors:
1. Organise travels, coordinate external events and travel & expenses for the Board of Directors.
2. Provide support in arranging on-site and off-site meetings including coordinating the agenda, collaboration of presentations/information, handling logistics, minute taking etc.
3. Prepare slide decks and assist as needed with presentations, events & seminars.
4. Supporting the Board of Directors as needs be.
5. Assist with any other ad-hoc projects and duties as appropriate.
Job skills, requirements & attributes:
1. 5+ years experience as an EA.
2. Highly discreet and confidential.
3. Have considerable experience and success working directly with Senior Executives and key internal / external stakeholders in a fast paced, high volume, high standards global environment.
4. Be self-motivated, able to deal with ambiguity, change and demonstrate administrative team leadership skills to provide required support.
5. Have a demonstrated proficiency for collaboration, attention to details and strong organisational skills.
6. Advanced PC skills, including Word, Excel and PowerPoint.
7. Experience with organising Outlook Calendar/ email inbox management specifically on behalf of others.
