Administrator (Grade V)
Permanent, Full-Time Contract – 35 hours per week
McMahon Centre, Kilcullen, Co. Kildare
GRADE V (CLERICAL) Salary Scale: Point 1 €50,202
The successful candidate will be responsible for the management of the administrative team in Kare McMahon Centre and ensure the efficient delivery of administrative and clerical supports that support the clinical functions of the Kare’s Clinical Supports Team for adults using Kare services. The successful candidate will ensure good leadership and effective management of the systems and processes in place, and to direct and delegate as needed the administrative and clerical tasks and systems that are in place as supports to the clinical team.
Responsibilities
* Ensure the efficient day-to-day administration of area of responsibility
* Organise and manage meetings related to clinical services
* Ensure policies and procedures related to administrative and reception tasks are well documented, understood, and adhered to
* Ensure all KPIs and reports related to internal processes are provided in a timely manner
* Ensure all communications, internal and external, are responded to in a timely and professional manner
* Supervise and ensure the well-being of staff while advocating for the ongoing development of the administrative team
* Implementation of Kare’s financial procedures and regulations to include procurement and purchasing procedures
* Support the reception function to ensure that all visitors to the building have a respectful positive experience
* Maintain knowledge of relevant HSE policies, procedures, guidelines, legislation, and practices

Requirements
* A recognised Administration/Business or relevant qualification
* At least 3 years satisfactory experience at a Grade IV level
* Desirable: Has worked in a clinical/medical context with an understanding of working with vulnerable service users and those with impaired communication
* Experience of working in a busy office environment that has involved dealing with senior management and other key internal and external stakeholders
* Knowledge of GDPR and managing confidential information
* Experience in people management
* Administration Experience: letter/email writing and general correspondence
* Experience of diary management, organising meetings, and minute taking
* Experience in developing, preparing, and producing KPI and service reports through the Microsoft Office Suite – Word, Excel, and PowerPoint
* Experience in processing and management of large volumes of documents such as invoices, application forms, and supporting documents
* A Full Irish Driver's Licence and access to own vehicle
* Eligibility to Work in Ireland
