About the Role
This entry-level position as a Business Support Analyst offers a fantastic opportunity to gain hands-on experience in office management while working closely with HR and Finance. You'll play a crucial role in driving office culture, maintaining our office to high standards, organizing office events, and decorating the office for various occasions.
Key Responsibilities
1. Office Management and Maintenance:
* Facility Management: Assist in managing facilities, liaising with building management and contractors (cleaning, electrical, IT, plants, etc.).
* Office Maintenance: Ensure the office is maintained to high standards, keeping it clean, organized, and functional.
* Canteen Management: Keep the canteen fully stocked and clean.
* Boardroom Management: Coordinate meeting room bookings, arrange catering, and maintain meeting spaces.
* Office Communication: Manage office communication and correspondence efficiently.
2. Event Planning and Fun Activities:
* Event Management: Lead or support the planning and execution of internal and external events, including fun team activities.
* Fun Committee: Be an active member of the fun committee, contributing ideas and energy to make our workplace enjoyable.
* Office Decorations: Take charge of decorating the office for various occasions, using your creativity for arts and crafts.
3. Collaborative Projects:
* HR Support: Assist with office Health and Safety, scheduling interviews, onboarding and offboarding employees, prepare employee letters, etc.
* Employee Experience: Help create a positive and engaging employee experience overall.
* Marketing Coordination: Ensure promotional materials and merchandise are in stock for new hires and events.
* Finance Support: Accurately process vendor invoices, match them to purchase orders and receipts, reconcile discrepancies, and obtain necessary approvals before payment. Maintain accurate accounts payable records and assist with month-end closing procedures. Respond promptly to vendor inquiries, reconcile statements, and resolve outstanding issues in a timely and professional manner.
* IT Support: Assist the IT team with various projects as needed.
* General Office Knowledge: Become the go-to person for office-related queries and assistance.
