Reception Supervisor DCU Rooms DCU Rooms is a busy, thriving company located in Dublin City University. The Reception Supervisor is responsible to the Reception Manager for all the duties associated with the supervision of the three reception areas for students accommodation in DCU during term. During the summer months, the Reception Supervisor will be required to ensure delivery of KPIs associated with Reception and Housekeeping services. Specifically, the supervisor will ensure excellent guest satisfaction in each area. This will involve attending regular team meetings and arranging staff training. Reports to: Reception Manager / Operations Manager Job Summary: As a Front Office Supervisor in our student accommodation facility, you will be responsible for overseeing the front desk operations and ensuring a seamless experience for our residents. Your primary focus will be on providing exceptional customer service, managing the front desk team, and maintaining a positive living environment for our students. Your attention to detail, strong leadership skills, and ability to handle various tasks simultaneously will contribute to the overall success of our student accommodation. Responsibilities: 1. Supervise and lead a team of front desk staff, providing guidance, training, and support to ensure excellent customer service and resident satisfaction. 2. Oversee the daily operations of the front desk, including check-in/check-out procedures, handling resident inquiries, and resolving any issues or concerns. 3. Maintain a welcoming and organized front desk area, ensuring it is clean, well-stocked, and presentable at all times. 4. Coordinate with other departments, such as maintenance and housekeeping, to ensure efficient communication and prompt resolution of resident requests or concerns. 5. Assist in managing room assignments, ensuring accuracy and timely processing of resident check- ins and check-outs. 6. Handle financial transactions, including rent payments and security deposits, while maintaining accurate records and following established procedures. 7. Collaborate with the management team to enforce policies, rules, and regulations to maintain a safe and respectful living environment for all residents. 8. Train front desk staff on accommodation policies, procedures, and systems to ensure consistent service delivery and adherence to standards. 9. Conduct regular performance evaluations and provide feedback to front desk staff, identifying areas for improvement and recognizing exceptional performance. 10. Assist in developing and implementing standard operating procedures to enhance efficiency and resident satisfaction. 11. Stay updated on accommodation services, events, and local resources to provide accurate information and support to residents. 12. Adhere to all safety and security protocols to ensure the well-being of residents and staff. Requirements: 1. Leaving cert or equivalent; additional education in hospitality or related field is a plus. 2. Proven experience in a front office or customer service role, preferably in a student accommodation or hospitality setting. 3. Strong leadership and supervisory skills, with the ability to motivate and inspire a team. 4. Excellent communication and interpersonal skills, with the ability to interact effectively with students, parents, and colleagues at all levels. 5. Exceptional organizational and multitasking abilities, with a keen eye for detail. 6. Proficient in using computer systems and software for front desk operations. 7. Ability to handle challenging situations calmly and professionally, with a student-centred approach. 8. Flexibility to work shifts, including evenings, weekends, and holidays as required. 9. Knowledge of student accommodation regulations and best practices is an advantage. 10. Understanding of safety and security procedures in a student accommodation environment.
