We are seeking a skilled and experienced Facilities Assistant to join our growing, dynamic team. In this role, you will play a key part in ensuring the smooth operation of our facilities by managing daily activities, coordinating maintenance tasks, and supporting health and safety compliance. Your role will include the following:
1. Report on outstanding Work Order and PPMs, following up with sub-contractors on the status of works
2. Prepare client quotes for reactive and follow-up works
3. Assist in scheduling PPMs and reactive works
4. Review contractor documents and ensure all documents are up to date
5. Authorize and manage Permit to Work systems
6. Compile RAMs as required
7. Assist management with supplier invoicing
8. Source and request PO’s for works in a timely manner
9. Draft Supplier Level Agreements for approval by the Facilities Manager
10. Coordinate Subcontractor maintenance visits with Supplier and Client requirements
11. Oversee the employee schedule for support cover
12. Financial reporting
13. Compile service reports, upload to the CAFM system and issue to customers
14. Assist management with the mobilisation of new contracts
Requirements
1. Experience working in a professional team-based office environment
2. Experience communicating with Clients/Customers and providing excellent customer service
3. High level of computer literacy including an excellent working knowledge of MS Office software (Word, Excel, Powerpoint and Outlook)
4. Experience working with CMMS and CAFM software
5. Experience working in a similar role within Facilities Management is preferred
6. Strong administrative and coordination skills
7. Strong attention to detail
8. Highly numerate and analytical skills

Pay: €14.50-€16.00 per hour
