Event Coordinator & Project Manager
We are seeking a dedicated and dynamic individual to fill a dual role combining responsibility for project managing the Calcutta Run, the Law Society of Ireland's flagship ESG initiative, and supporting project management within the Finance team.
Main Duties & Key Responsibilities
* The Calcutta Run Coordinator role is the primary focus of this position, with responsibilities covering the planning, promotion, and execution of this prestigious annual event and its associated activities.
* The candidate will support finance-related projects working collaboratively with the Finance team to meet organisational goals.
Calcutta Run Responsibilities
* The successful candidate will take sole responsibility for the management and delivery of the Calcutta Run and its associated events, including the Dublin run, Golf Classic, Tag Rugby, and Tennis tournaments.
* Duties include:
o Event Coordination: overseeing onsite management, communications, finances, and fundraising efforts.
o Serving as the central liaison with the Calcutta Run organisation group, the Calcutta Run Committee, sponsors, and partner charities.
* Promotions & Engagement: engaging with stakeholders, including law firms, participants, managing partners, and sponsors.
* Managing digital communications, creating engaging content for social media platforms and newsletters.
* Developing online and print promotional materials, coordinating with design tools like Canva, MailChimp, and Hootsuite.
* Participant & Sponsor Management: coordinating individual and team registration using online systems.
* Building and maintaining relationships with sponsors and key donors.
* Providing regular reports to the organising committee on registration, donations, and progress.
* Event Management: organising key events, including the event launch (March), the main event (late May), and the cheque handover (Q4).
* Overseeing supplier relationships and ensuring smooth delivery of all logistical needs.
* Collaborating with organisers of supporting events, such as the Golf Classic, Tag Rugby, and Cork Run.
Project Management Responsibilities
* The candidate will provide project support to the Finance team, focusing on initiatives to improve processes and deliver organisational goals.
* Responsibilities include:
o Assisting with financial project plans, including timelines, budgets, and resource allocation.
o Assisting with implementation of planned projects.
o Monitoring and reporting on project progress and adjusting plans as necessary to meet deliverables.
o Identifying and escalating risks to project success while contributing ideas for optimisation.
o Participating in process analysis to improve workflow efficiency and compliance.
Knowledge & Skills Required
* Experience: 3+ years in event management or a similar role, with demonstrated project management exposure.
* Proficiency in social media marketing, using platforms like Hootsuite, MailChimp, Canva, and others.
* Technical Skills: knowledge of design tools like Adobe is advantageous.
* Competency in MS Office, especially Excel, and comfort handling figures.
* Project Management qualification is advantageous.
* Soft Skills: strong organisational, prioritisation, and multitasking abilities.
* Exceptional communication and interpersonal skills.
* Proactive, flexible, and able to work independently.
* Finance qualification or background is advantageous.
* Other Attributes: enthusiastic about community-focused initiatives and event fundraising.
* Confident in collaborating with cross-functional teams and external partners.
