The right candidate should have excellent communication and multi-tasking skills, with a sense of accountability and a professional approach in all areas of the business.What you’ll do:Act as front-of house representative for Murex through reception, phone and e-mail duties as well as hosting internal and external guests.Contribute to the company culture by helping to maintain a positive and social work environment.Ensure the office is always operating efficiently by managing stock levels, tidiness, performance of suppliers etc., providing solutions where relevant for example changing processes, suppliers.Proactively monitor process efficiencies and liaise with relevant stakeholders to implement change, with minimum disruption to business.Negotiate with external suppliers to ensure maximum cost savings in line with established budgets and finance processes.Collaborate with building landlord & security team regarding office operations as well as building issues and maintenance. A productive relationship with the building management team is essential and key to the role.Ensure all Health & Safety obligations are satisfied. Proactively spotting potential hazards then taking immediate and appropriate action.Responsible for event management primarily annual Christmas and Summer parties and smaller more frequent office events throughout the year.Responsible for all local logistics in relation to annual Jamboree event in Paris in collaboration with the French team.Provide administrative support to HR, Finance, TA, IT teams as well as Site Management.Collaborate with internals teams to provide solutions on operational issues.Liaise with Giving Back, Internal Comms, Office Admin and Branding teams in our Paris office.Any other ad-hoc duties that arise from the basic to the more complex.To be successful in the role you should have:1-2 years in a similar role.A practical, flexible and hands-on attitude.Ability to demonstrate initiative, adaptability and discretion.Excellent negotiation and communication skills.Proven multitasking, organizational and time management skills.A sense of accountability for all matters relating to reception & facilitiesWorking hours are 9.00am - 5.30pm, full time in our Dublin office.Flexibility is required as occasionally as these hours may change.Proficiency in Microsoft Office especially Outlook, Excel, PowerPoint is required.Experience of Workday or Canva would be useful but not essential.Health and Safety experience/qualification desirable not essential.
