Position Description
Job Title: Bid Coordinator M/F
Contract Type: Permanent contract
Location: Dublin, Cork, Castlebar, Limerick, Hybrid
Responsibilities and Duties:
1. Responsible for Tender Watch, daily review of tender portals.
2. Management and Coordination of a Go/No Go process on individual procurement efforts.
3. Development of bespoke templates for proposals and tenders including page designs, covers, dividers, etc.
4. Management and completion to tight deadlines of Pre-Qualification Questionnaires and Suitability Assessment Questionnaires.
5. Management of the tender process on individual procurement efforts.
6. Coordination of Technical staff to ensure answers are provided in a timely manner.
7. Conduct reviews and edits to documentation and check for compliance with requirements.
8. Completion of final documentation and production. Responsible for uploading to procurement platform.
9. Arranging delivery to clients prior to deadline, if required.
10. Liaising with technical staff on client clarifications and other changes to documentation during the tender process.
11. Coordination with other consultants on joint venture procurement efforts.
Marketing (10%): To support marketing tasks in relation to website management, Social Media updates on Twitter, LinkedIn, Brand Management including brochures, flyers and company stationary.
Administration (10%): Responsibility for maintaining standard text including company and project descriptions, case studies and technical staff CVs.
Profile
Essential Qualifications:
1. Third level degree in engineering, marketing, business administration or similar profession.
2. 3 years work experience in a professional office environment.
3. 3 years experience in public procurement and tendering is a significant bonus.
4. Significant working knowledge of Microsoft Office, specifically PowerPoint and Word.
5. Working knowledge of Adobe Suite, specifically InDesign and Illustrator.
6. Good attention to detail and ability to work to deadlines is a must.
7. Strong communication skills for in person, phone and email contact.
8. High organisational skills with an administrative background.
The role demands a well-organised individual with strong attention to detail and the ability to communicate effectively with people at all levels.

Minimum Level of Education Required: 4-Bachelor of Arts / Bachelor of Science
Minimum Level of Experience Required: Less than 2 years
