Role: Stores and Logistics Co-Ordinator
Key Responsibilities:
To monitor, re-order and ensure accurate stock levels of raw materials, chemicals and PPE are in place to meet the Production Plan and customer orders and finished product, to provide statistics, reports and administration for the Stores and Logistics Manager.
To co- ordinate and assist with leading the stores and distribution department efficiently and effectively, resolving any issues in a timely manner ensuring minimal or no disruption to Customer and site operations.
Accountable for organising transportation activities, including storage of goods, managing information from point of production to delivery, and coordination and tracking movement of goods through logistic pathways.
Proactively support the overall operation of the Stores Department in relation to maintaining and improving Quality, Safety and Environmental standards.
To play a key role within the Stores Department in relation to maintaining and improving Quality, Safety and Environmental standards.

Responsibilities & Measures of Success:
Relationship Development
• Develop and maintain open lines of communication with Suppliers and third party storage contacts, ensuring all issues are logged, raised when necessary to the appropriate stakeholders and resolved through central non-conformance reporting system and communicated appropriately
• Maintain a strong working relationship with the Quality Department, ensure all issues are reported and there is strong collaboration on Root Cause Analysis investigations.
• Ensure that there is regular and systematic communication with supervisory and management Teams across all departments.
• Develop robust communication and engagement channels between production, sales and distribution, ensuring transparency at each stage to promote a healthy and efficient supply chain.
• Proactivity monitor schedule compliance throughout the week with the stores coordinator and manager.
• Participate and contribute to the daily site DMS meetings when in attendance.
• Liaise and work proactively with colleagues in GCUK, particularly with Sales, Purchasing and Planning
Operational Excellence
• Coordinate a robust site transport management system for inbound and outbound deliveries and collections.
• Arrange in accordance with the Hauler Contracts and via SAP, the transportation of deliveries both into the storage units in Europe (Belgium) and to other third parties and/or customers.
• Raise awareness to all relevant stakeholders of any potential issues that may impact customer deliveries and/or sales orders
• Ensure the receipt and processing of customer orders are completed in a timely manner in accordance with the Production Plan and the Delivery Schedule
• Co-ordinate with the stores team, the weekly stock take and reconciliation of stocks held in third party stores, ensuring it is undertaken accurately, maintaining the SAP Inventory and Warehouse Systems
• Co-ordinate site ambient & temperature controlled storage of finished goods, packaging, ingredients and detergents
• Ensure receipt of all on site deliveries are taken in accordance with internal procedures and processes.
• Ensure raw materials, PPE and chemicals are requested via SAP purchase requisition in a timely manner in order to meet the Production Plan and customer orders
• Act as custodian of all stores stocks, operations and buildings, highlighting any stocks or fabric issues.
• Assist in continuous department improvement projects.
• Maintain organised and tidy storage areas.
• Ensure that areas within the stores are audit ready at all times and legal compliance is adhered to.
• Ensure all products have the correct production date and best before date on boxes and labels.
• Operate all stock management systems in the stores such as SAP scanners, the Trello system, hard copy documentation, for effective communication and organisational compliance across the team.
• Ensure that specification of goods received and goods dispatched are correct and all nonconformities are reported and logged.
• Assist with the movement, segregation, preparation and removal of Downgrade and CAT 3 stock.
• Able to operate outside core hours as required, i.e. Late loads, etc.
• Assist Quality department with stock tracking and tracing exercises and audits.
• Arrange and oversee site transport deliveries and collections for ingredients, detergents, packaging and other site requirements this will be achieved through management of a scheduling system.
• Pallet reconciliation completed on timely basis Reporting and Administration
• Raising of purchase requisitions for all raw materials, PPE and chemicals against agreed contracts
• Ensure purchase requisitions are raised and processed in a timely manner
• Complete the Cheesehub MMS system in a timely manner for the forklift truck drivers clearing any exceptions on a regular basis when required.
• Provide stock reports to the required stakeholders on a weekly basis
• Ensure all other weekly and monthly reports are prepared and delivered to the agreed timelines
• Assist with key performance indicator reports resolving and reporting any issues in a timely manner
• Assist with tracking hauliers and supplier performance and raise any concerns to relevant stakeholders

Quality
• Ensure that quality related documentation is correctly maintained and issues are identified and acted upon accordingly

• Ensure daily safety checks are carried out on all Forklifts and other area specific equipment and arrange for correction of any defects in a timely manner

• Undertake new or update existing risk assessments upon the introduction of new processes, practices or on an annual basis as directed
• Ensure stores operatives are fully conversant with current safe working procedures and that relevant safety related documentation is correctly maintained and issues are identified and acted upon accordingly
• Undertake routine safety audits
• Ensure that the circumstances of any accidents or incidents are recorded in detail, reported via specified methods and that any supporting documentation is completed promptly Responsible for organisation and arrangements for all aspects of health and safety for the department.
• Develop new or update existing risk assessments upon the introduction of new processes, practices or on an annual basis as directed, ensuring all risk assessments are in place, comprehensive and up to date.
• Ensure all Department SOPs are reflective of our operations, reviewed and updated regularly.
• Maintain focus on workplace safety, ensuring all activities are carried out in accordance with safe working procedures, control measures identified via risk assessment.
