We are recruiting a Team Coordinator within our Legal Administration team in Dublin.
Hub Transformation
In many offices, 'Hubs' have transformed how secretarial services are delivered. Hubs provide opportunities for developing skills, networking, and knowledge-sharing by sharing the workload among team members.
Team Roles
* Team Coordinator: Manages the efficient running of the team, oversees incoming workflow, and distributes tasks appropriately.
* Senior Secretary: Takes ownership for the efficient running of the team, role-models as an effective team member, and acts as workflow supervisor when required.
* Secretary: Provides general secretarial and administration services as part of the secretarial team.
* Team Apprentice: An apprenticeship level role for those developing their skills, undertaking routine administration tasks under the direction of the Team Coordinator.
Main Duties & Responsibilities
* Managing the secretarial team to deliver an exceptional service.
* Ensuring the hub runs effectively and meeting model standards.
* Performance management of the team, including conducting annual PMR process and absence management process.
* Utilizing influencing skills to build close professional relationships with stakeholders.
* Supporting the secretarial team to ensure timely completion of shared work and identifying learning and development needs.
* Managing resources effectively to maximize productivity and minimize costs.
* Collaborating with location heads to manage in-office attendance according to business needs.
* Achieving long and short-term goals for self and team through effective planning.
* Undertaking confidential and specialist tasks, ensuring accurate and timely use of finance management systems.
* Coordinating internal and external client meetings and scheduling work activities effectively.
* Assisting fee earners with organizing meetings and drafting documentation according to DLA Piper Style Guide.
* Organizing client functions, entertainment, and seminars as required.
* Arranging complex travel bookings, including visas, flights, taxis, accommodation, and rental cars.
* Completing financial reports from internal systems highlighting outstanding monies to be billed.
About You
* Extensive relevant experience as a Senior Secretary.
* Strong people skills and excellent organization and prioritization skills.
* Ability to apply knowledge and judgement to solve problems and make decisions.
* Strong teamwork and cooperation skills and experience of delegating to and mentoring junior team members.
* Dynamic, friendly, personable, and approachable with excellent verbal and written communication skills.
* Flexible approach to working practices to meet business needs.
* Confident and professional with a conscientious and diligent attitude.
* Remains calm under pressure and uses initiative to drive results.
* Strong knowledge of Microsoft Office Suite.
