Role:Finance & Administration Assistant Reporting to:Finance Officer Summary of Role and Responsibilities The Finance & Administration Assistant will be responsible for providing support to the Finance Officer (FO) in delivering all finance and administration duties for the Good Shepherd Centre and Kilkenny Voluntary Housing Association. The organisation has strict governance and financial regulations and standards. The assistant will ensure, in conjunction with the finance officer, that these are strictly adhered to. The responsibilities of the role will include: To work within the Policy framework of the partner organisations. In conjunction with the FO administer debtors and creditors accounts To provide support with general administration across finance, property management and procurement and financial reporting and compliance to statutory funders. Main Duties Include: Performing day-to-day book-keeping, including weekly lodgements, analysis of credit/debit payments, petty cash, invoicing. Performing monthly bank reconciliations on all accounts. Preparation of profit and loss budgets for homelessness and housing divisions. Processing weekly and monthly payroll for GSCK. Assisting in the preparation of Monthly Management accounts for the GM and Finance sub. Assisting in the preparation of Quarterly Management accounts for the Board. Assisting in the preparation of Annual Accounts, ready for audit. Assisting in the preparation of financial reports for funders. Administering the group insurance policy, Developing, amending and implementing, in consultation with senior management and the Finance Sub-Committee all relevant financial policies and procedures. Providing financial administration for GSCK events and activities, including fundraising. Following established administration and record keeping practices. Representing the Association in a positive and professional way, which promotes the vision, mission and strategic priorities of the Association. Ensuring confidentiality and professional integrity is upheld at all times. Being flexible, adaptable and available to take on other tasks or duties as requested by the Association. Terms A Specified purpose contract for 1 year. A six-month probationary period will apply. This position is subject to reference checks. Occasional work outside normal office hours. Based in Kilkenny city-centre office. Part-time 25 hours per week, with flexible working opportunities. Salary€17.9Kper annum, paid monthly in arrears. Person Specification Candidates should have: Minimum qualification of Accounting Technician or degree in Accountancy (Level 7) At least 2 years experience in a similar role providing finance and administration support, preferably with experience of the community and voluntary sector. Excellent analytical and problem-solving skills. Excellent and demonstrable knowledge and use of excel. Excellent verbal and written communication skills. Excellent organisational and IT skills. Demonstrable experience in Quick Books or another software package. A full driving licence with use of ones own car is desirable. High levels of professionalism and flexibility.
