The Admissions Quality Assurance Officer has responsibility, reporting to the Registrar & Director of Campus Operations, with a daily line report to the Admissions Manager for the quality assurance around the College’s Admission activities for all recruitment areas.
Responsibilities:
* Adherence to the College’s admissions policies and procedures as outlined in the Quality Assurance handbook
* Evaluate and execute admission decisions on standard applicant files
* Ensure SLAs for offer management is adhered to for applicants, partners and agents
* Ensure that Admissions quality standards conform with best practice nationally and internationally while meeting additional requirements of external agencies such as HEA eligibility for Springboard for example
* Responsible for ensuring the administration and accurate recording and storage of QA Admission records is adhered to across all recruitment areas
* Liaise with faculty and delegates on non-standard applicant files
* Organise admissions interviews with applicants and delegated faculty, where required
* Ensuring a customer service ethos is included in all admission processes
* Organisation and provision of a comprehensive and streamlined information service, and development of relationships with all targeted and potential applicants
* Checking entry requirements in all publicity materials (brochures, flyers, website pages etc.) and ensuring information is accurate and updated where necessary
* Provision of timely and regular reports to senior management and academic management with up-to-date statistics and analysis of student admissions and making recommendations where necessary (e.g. Admission reports, Exemption analysis reports etc.)
* Conduct internal audits on all student recruitment areas and compile report on findings
* Preparation and review of Articulation Agreements
* Support the Recruitment and administration team if necessary
* Deputise for the Admissions Manager on occasion
* Additional tasks as delegated by management
* Attendance at open evenings or other events if required
* Play a role in the College’s internal and external reviews by quality assurance agencies (e.g. institutional reviews, programmatic review plans and validations)
* Responsible for overseeing the wider QA admin team ensuring processes are being adhered to and SLAs are being adhered to
* Liaison and co-operation with management colleagues, including:
* Develop relationships with academic management, including regular interaction with academic staff in the School
* Liaise with the Office of Academic Operations team concerning the implementation of QA policies and procedures and compliance with academic standards
* Identifying trends and opportunities from eligible applicants for opportunities for development
Performance Requirements in the Role:
* Report writing capabilities to meet the expectations of audiences within higher education external agencies, both nationally and internationally
* Preparing and maintaining all records, reports and files in accordance with agreed procedures
* Ability to communicate information in an effective, concise and tactful manner, both orally and in writing
* Ability to organise and manage projects successfully to completion setting and delivering on clear and effective objectives against which work can be planned
* Ability to build and maintain constructive relationships with a range of colleagues throughout the College
* Ability to take significant initiative and to work independently as appropriate
* Dealing with staff, students and external agencies in a courteous and professional manner
* Assistance with any tasks allocated by the Admissions Manager
Essential Criteria:
* Educated to Degree level
* Excellent organisational and administrative skills
* Experience working in a Quality Assurance Role
* Proven ability to communicate information to the public in an effective and professional manner
* Excellent Interpersonal and written communication skills
* Good computer & keyboard skills, preferably including word processing, databases and spreadsheets
* Ability to work effectively and accurately under pressure
* Strong attention to detail and accuracy
* Ability to prioritise and to meet deadlines
* Ability to work as part of a team to achieve goals and objectives
* Flexible approach to work
* Ability to deal with high volumes at key periods
* Previous experience of working in an educational institution would be beneficial for this position
