Wayfair’s EU Financial Operations team is seeking an Accounts Payable Associate based in our Financial Shared Services team in Galway. We are looking for the right individual to support the European Accounts Payable team. The ideal candidate will bring strong organizational and planning skills, be highly motivated, detail-oriented, collaborative, self-motivated, and customer-oriented, with a high sense of urgency and problem-solving abilities. This person should be smart, engaging, fun, curious, and unflappable!
Wayfair’s EU Financial Operations team supports and manages the day-to-day activities for many teams across the organization. These activities include invoice processing, supplier and vendor statement reconciliation and payment, cash collections, expense payments, employee salary payments, and supplier credit card management. This team serves as a finance service centre for all employees, suppliers, vendors, category management, offshore teams, legal, and HR. This is a unique opportunity for someone with excellent organizational skills to take their career to the next level.
Key Responsibilities Include:
1. Ensure all invoices are processed in line with internal controls: No PO No Pay.
2. Ensure suppliers are paid within agreed payment terms.
3. Investigate and resolve AP finance-related issues in a timely manner.
4. Support continuous improvement initiatives.
5. Partner and collaborate with all stakeholders impacted by the services and support the P2P end-to-end process.
6. Perform internal audits on processes to ensure compliance with internal controls.
7. Complete various analyses and reconciliations in line with functional requirements.
8. Act as the point of contact for escalations for suppliers and internal Wayfair business partners.
9. Ensure all queries to the department ticket systems/mailboxes are dealt with in a timely manner.
10. Ensure all processes are documented and assist in the development of the function.
11. Ensure month-end tasks are completed within the set deadlines.
12. Ensure quality and completeness of supplier and purchase order data across company systems.
13. Review and validate supplier setup requests.
14. Perform validation checks on purchase orders.
15. Enter and upload invoices into the system.
16. Drive standardization and perform master data management.
17. Follow up on missing documentation in a timely and proactive manner.
18. Work with auditors as required to share sample documents as requested.
19. Proactively liaise with Wayfair's third-party providers offshore team.
20. Ensure that invoices are processed and queries are dealt with in a timely manner.
21. Set KPIs and periodically review processes to ensure high-quality standards are met.
22. Partner and collaborate to seek areas or processes of improvement.
23. Act as a mentor to interns.
24. Involvement in any project related to Purchase to Pay processes or systems as required.
Skills & Experience:
1. Bachelor’s degree or finance qualification desirable.
2. At least 2 years of experience working in a busy accounts payable environment.
3. Flexible and able to handle ad hoc issues that may arise.
4. Strong organization and planning skills.
5. Problem identification and resolution skills.
6. Meticulous attention to detail and strong planning and forward-thinking capabilities.
7. Demonstrated ability to anticipate needs and situations before they are fully developed.
8. Proficiency in Google Enterprise Suite tools (calendar, mail, drive, docs, sheets, slides, meet).
9. Excellent written, verbal, and presentation skills.
10. Extremely high level of discretion pertaining to confidential information.
11. Motivation to develop and maintain internal and external relationships.
12. Setting and facilitating the achievement of department objectives.
