Receptionist Job Description
Summary:
The Receptionist will be the first point of contact for customers, managing visitor arrivals and providing administrative support to ensure smooth operations.
Key Responsibilities:
* First point of contact for all customers visiting the site
* Allocate visitor badges, deliver safety and induction videos, and provide safety gear as required
* Manage phone system and direct calls accordingly
* Support Quality team in updating the Quality Management System (QMS)
* Manage electronic filing of documents related to safety checks, warehouse training, and SOPs
* Coordinate meeting bookings, refreshments, and outgoing post
* Customer contact for pre-advise and scheduling of incoming goods
* Verify data accuracy for imports and exports to maintain integrity of Warehouse Management System (WMS)
* Generate export orders on WMS and liaise with warehouse staff
* Monitor GMP requirements and circulate weekly reports
* Ensure administrative accuracy and comply with standard operating procedures (SOPs)
* Prepare receipt documents and warehouse reports for incoming goods
* Investigate and record non-conforming or damaged items until further instruction from the customer
* Perform other tasks as required
Requirements:
* Proficiency in Microsoft Office
* Familiarity with Warehouse Management Systems
* Strong communication skills
