Job Description
The Client Onboarding Specialist will be responsible for guiding new and existing clients through our onboarding process. This includes assisting clients with accounts’ set up, Know Your Customer (KYC) procedures, data collecting, identification checks, document collection, and assistance with any initial queries clients may have in relation to the onboarding process at Elkstone.
The Client Onboarding Specialist ensures a seamless and efficient experience for clients and institutions. In this role, she/he will be responsible for managing client onboarding processes, ensuring compliance with regulatory requirements, and facilitating a smooth execution throughout the process. She/he must be able to communicate effectively with individuals from all backgrounds and will possess excellent customer service skills.
The role reports to the Head of Wealth Management Operations.
Main responsibilities will include but are not limited to:
1. Provide relevant account opening documentation to each client as appropriate and complete KYC/AML checks and any relevant due diligence checks and paperwork.
2. Provide ‘white glove’ customer service type care to all individual and institutional investors’ needs.
3. Develop and enhance client relationships, by providing exceptional levels of client service.
4. Manage receipt and distribution of client’s paperwork and liaise with other teams and any third parties as appropriate.
5. Liaise with Elkstone’s external Fund Administrators to ensure that client documentation is compliant and submitted on time.
6. Assist with completion of compliance related monthly metrics in a timely fashion.
7. Assist in maintaining the client service onboarding procedures and enhance the process to identify and remove workflow issues.
8. Work closely with the tech team to develop, rollout and test system enhancements.
9. Utilise the CRM application for various tasks: submitting/assigning tasks, onboarding/offboarding clients, creating new contact entries, updating existing contact information, tracking tasks, and running reports.
10. Liaise with Relationship Managers, Compliance, and Operations to resolve any issues and improve onboarding efficiency.
11. Attend meetings as requested, and assist with data gathering.
12. Stay updated with regulations and industry knowledge impacting client onboarding.
Requirements
1. A Bachelor’s Degree or equivalent is required, ideally in business administration or finance related disciplines.
2. Previous proven experience working in a similar role, within a financial services firm, for at least 2 to 5 years in wealth management, private banking or financial services.
3. A keen interest and good understanding of investment products and financial markets.
4. Experience with client onboarding, compliance support, or operations is highly preferred.
5. Proactive and creative approach to problem solving.
6. A strong aptitude for numeracy and good organisational skills.
7. Ability to work in a fast-paced, evolving environment and use a flexible approach.
8. Fluency in English, both spoken and written, with excellent communication skills.
9. Computer literacy, particularly strong proficiency with MS Office tools: Excel, Word, PowerPoint, Outlook.
10. Experience of working with a recognised project management methodology and proven experience in the use of a CRM system.
